Job Description

Job Title: Volunteer CoordinatorEmployer: Capilano Community Services SocietyLocation: North Vancouver, BCType of Position: Permanent, Part-Time (21 hours/week)Hours of Work: 3 days/week; 9:00am – 4:30pmWage Range: $24/hour to 26/hour grossBenefits: A benefits package is available following 3 months of consecutive employment and successful completion of a 3-month probationary review.Start Date: October 25, 2021 (negotiable)About Capilano Community Services SocietySince 1970, Capilano Community Services Society (CCSS) has connected residents of the North Shore to their communities by providing support services, resources, and outreach programs that address the current and emerging needs of at-risk youth, and frail and isolated seniors. Our programming is designed to support and enhance social connections, health and well-being, and resiliency. Our goals are to foster vibrant, inclusive and caring communities where residents feel a sense of belonging and can thrive. In Fall 2021, CCSS will be moving to a new community centre in the Lower Capilano area. In this space, CCSS will be partnering with the North Vancouver Recreation Commission and the District of North Vancouver Public Library, to offer social programs and support services to the local community.Overview of Volunteer Coordinator RoleThe Volunteer Coordinator will, plan, develop, coordinate, and support the volunteer program at CCSS, with the direct supervision of the senior management team. Working collaboratively with other CCSS staff, the Volunteer Coordinator will assess opportunities for volunteer placement, develop proactive recruitment plans, manage the volunteer database, provide training, mentoring and coaching to volunteers, and act as an advocate for volunteerism in the community while reflecting the overall mission and values of the organization.The Volunteer Coordinator plays a key role in the organization to ensure the community we serve is actively engaged. As the organization will be moving to a new community centre, and expanding our programs and services, this role will be of critical importance in developing an inclusive and diverse volunteer base and creating new volunteer roles.RESPONSIBILITIESVolunteer Management and Program Development

  • Develop and implement ongoing strategies to maintain a vital volunteer community for Capilano Community Services and partner organizations; work actively within the extended Capilano area community and co-operatively with other agencies on the North Shore to identify current and future sources of volunteers.
  • Recruit and screen potential volunteers.
  • Identify and match volunteer’s skills, interests and availability with existing and new volunteer opportunities to create a meaningful volunteer experience.
  • Ensure that each volunteer receives orientation and training specific to their placement, providing complete information about the scope of their responsibilities.
  • Work with staff and volunteers to ensure that each volunteer has all resources necessary for a meaningful volunteer experience.
  • Provide regular, intentional recognition of volunteer contributions by leading, planning and executing an Annual Volunteer Recognition event.
  • Provide both staff and volunteers with constructive, meaningful evaluations of the volunteer experience that promote excellence in all programs for volunteers, staff and participants alike.
  • Working with CCSS staff to ensure that the volunteer program continues to evolve to meet the needs of CCSS, its programs, and its participants.
  • Identify and pursue opportunities for growth and development for the CCSS Volunteer Program.
  • Performs related duties as required.
Volunteer Advocacy
  • Represent the CCSS volunteer community within the broader North Shore community.
  • Pursue partnerships that promote volunteerism with other community agencies and within the community.
Program Administration
  • Build, maintain and archive individual files for all volunteers both in print-copy format; and digitally using database software; and ensure each volunteer’s file includes all necessary documentation and proofs of required certifications (Criminal Record Checks, Statements of Health, etc.).
  • Develop and monitor department budget and resources, including reimbursement of expenses.
  • Compile, create and disseminate all volunteer policies and procedures in accordance with the broader principles and practices of CCSS; make available the Volunteer Policies and Procedures Handbook to all volunteers.
  • Develop, administer, and review volunteer program materials including forms, volunteer job descriptions, orientation materials, and policies and procedures that align with best practices in volunteer management.
Required Qualifications, Knowledge, Skills and Abilities
  • Certificate or diploma in Volunteer Management, Non-Profit Management, or related field, or a suitable combination of training and experience.
  • Minimum 2 years relevant experience coordinating a volunteer program and/or relevant experience in community development, outreach, community programming, volunteer supervision, and facilitation.
  • Excellent communication, planning, leadership, coaching, organizational and problem-solving abilities.
  • Resilient, creative, and energetic person with a passion for community-based work.
  • Strong understanding of individual and community barriers to social inclusion.
  • Ability to work well independently, as well as work collaboratively as part of a team.
  • Commitment to ongoing learning and professional development.
  • Demonstrated experience with event organization and management.
  • Comprehensive understanding of MS Office suite including database software, and familiarity with cloud technology.
  • Previous experience in the not-for-profit environment is preferred.

  • BC Driver’s License
  • Current Emergency First Aid Certificate
  • Criminal Record Check
