Job Description

Position Summary: Reporting directly to the Chief Administrative Officer, the Assistant CAO is accountable for providing an exceptionally high level of confidential administrative support to the CAO for all administrative matters. This position involves extensive liaisons with the CAO, Mayor, Council, Senior Management and Senior Officials in the offices of various levels of government. The Assistant CAO is required to maintain general awareness of local and municipal matters, corporate priorities and issues, and other matters affecting the Municipality. This position has access to confidential and sensitive materials and absolute discretion is essential at all times.Key Responsibilities: Ø Perform general office management duties and provide administrative support;Ø Manage and resolve administration issues;Ø Draft public notices, by-laws, council agendas and minutes, background and briefing notes;Ø Prepare all routine correspondence resulting from the decisions of Council and reviews non-routine correspondence with CAO to determine appropriate action;Ø Manage meeting requests including reviewing appointments, calendars, schedules, deadlines, due dates, and travel arrangements;Ø Coordinate and maintain general and confidential matters, including corporate priorities, reports, and new initiatives;Ø Maintain a professional working relationship with staff, members of Council, representatives of other government agencies, and the public;Ø Ensure discretion by bringing to the attention of the CAO, issues that are confidential and sensitive in nature;Ø Coordinate and organize various municipal social events in collaboration with other internal and external departments/agencies;Ø Provide timely customer service to residents;Ø Assist with review and maintenance of administration/Council web page;Ø Recording Secretary for Cemetery Committee, preparation of cemetery deeds and maintenance of cemetery records;Ø Freedom of Information and Protection of Privacy response research and preparation;Ø Continually seek opportunities to drive improvement; and,Ø All other tasks and duties as assigned relative to the position.Minimum Job Requirements· Post-secondary diploma/degree in Business, or a related discipline;· Five (5) years of directly related experience in a municipal environment;· CMMA designation considered an asset;· Advanced level of proficiency in office procedures, business writing and computer applications including Microsoft Office (Word, Excel, Outlook, PowerPoint) and databases;· Working knowledge of local government functions and responsibilities, and the policies and customs of Council, Committees and their relationship with staff and external contacts;· Thorough understanding of various levels of government, agencies, legislation and protocols involved in dealing with staff, stakeholders, elected officials and the general public;· Ability to work effectively in a politically sensitive environment, maintaining a high level of confidentiality and trust;· Demonstrated organizational skills and a proven ability to work independently and accomplish work objectives;· Demonstrated tact, diplomacy and sound judgement skills;· Ability to develop presentation materials, compose reports and correspondence;· Effective customer service skills to resolve issues in a professional manner;· Ability to work outside normal schedule to attend meetings as required.Knowledge Skills and abilities: Ø Working knowledge of Municipal Act;Ø Working knowledge and experience with Municipal accounting and finance procedures;Ø Strong interpersonal skills to effectively and respectfully manage concerns related to the public, employees, vendors, etc.;Ø Strong writing skills with the ability to research and formulate concise accurate reports and other documents;Ø Ability to establish priorities, work with a high degree of independence and proceed with objectives with minimal direction;Ø Ability to coordinate, problem solve and consistently meet deadlines.Job Types: Full-time, PermanentSalary: From $28.43 per hourBenefits:
