Job Description

Primary Responsibilities:

  • Monitoring and reporting on time sheets
  • Creating, implementing, and maintaining documents for standard company processes, policies, and procedures
  • Updating office records and databases that contain personnel, financial, and office data
  • Updating and maintaining the CRM containing client and project data
  • Performing some bookkeeping tasks including QBO knowledge, invoicing, monitoring accounts receivable, budget tracking, and maintaining the financial dashboard
  • Maintaining general office files including client files, project files, vendor files, and other files related to the company’s operations
  • Handling email inquiries and redirecting support inquiries
  • Other tasks as needed
A typical week in this role may include:
  • Creating a marketing email and scheduling it for delivery
  • Creating posts for Facebook and LinkedIn
  • Generating and consolidating time reports from time tracking software
  • Creating project and/or financial reports
  • Monitoring support tickets and assigning to team members as needed
  • Creating/updating dashboards and/or projects in our project management software
  • Updating company website content and/or SEO as needed
  • Updating content, including text and images on a client website
  • Using visual web builder tools to create a new webpage on a client website
  • Resizing/optimizing photos or graphics to be used on a client website
  • Editing web page content for search engine optimization
Required:
  • Two (2) years of experience in similar work environments
  • Organizational skills to assist team members with various tasks
  • Proficient knowledge of core computer programs and excellent typing abilities
  • Excellent communication skills to communicate effectively with the team and clients
  • Detail oriented and self motivated, with the ability to plan and keep projects on track
  • Attention to detail to submit work or send communications without error
  • Adaptable and flexible to adjust priorities for priority tasks
  • Pleasant demeanor, and the ability to work with various types of personalities
  • Ability to handle sensitive information
  • Above average understanding of both written and spoken english language
  • Basic bookkeeping
