Job Description

Payroll/Accounting SpecialistHuman Resources DivisionPermanent Full-TimePay Band: $71,690 - $89,613 per annumReporting into the Payroll Supervisor the Payroll/Accounting Specialist is responsible for all financial aspects of Payroll reporting, from biweekly payroll funding, cheque reversals and off cycle payments, GL account reconciliation, GL interface into Finance, and manually journalizing payroll journal entries.In this role you will also play an integral part of payroll year end T4 filing and reporting; providing accurate guidance to Payroll Coordinators and supporting routine payroll audits.In this role you will:

  • Prepare bank reconciliation for Corporate Reporting (troubleshooting and adjusting for any reconcilable items).
  • Balance and run GL interface to payroll summary.
  • Prepare reconciliation sheet for EFT remittance each pay deposit date.
  • Run all Payroll Summaries for pay-by-pay reconciliations.
  • Run and distribute all queries and ad hoc reports requested from Payroll (provided to FSUs, Supervisors, Analysts, Auditors, etc.)
  • Schedule weekly Pay Calendar and post early close notification on SharePoint.
  • Prepare & reconcile all weekly Tax remittances.
  • Work together with the Payroll Supervisor to audit and analyze all jobs relating to year-end processing.
  • Support payroll audit, by running various queries prior/after finalizing pay open/close.
  • Confirm & close pay, along with payroll funding arrangements.
  • Run all pay reversals and process all off-cycles as required.
  • Prepare all cheques for:
    • On-cycle and off-cycle payroll adjustments.
    • Request for payments made through Accounts Payable such as Union Dues, Family Responsibility payments, Garnishees, CRA remittances, EHT, United Way.
  • Run and balance all payroll accounts making any necessary adjustments/journal entries.
  • Audit and correct all errors on year end reconciliation ranging from Employment Insurance (EI) and Canada Pension Plan (CPP) deficiencies to invalid social insurance numbers. Investigate the cause of the errors and make any necessary changes and/or corrections.
  • Amend/correct T4/T4As as required.
  • Act as a liaison between the Payroll Coordinators and the Payroll Supervisor, back fill for Payroll Supervisor, supporting Payroll Coordinators and acts as a team leader by providing guidance and assistance as needed by each Coordinator in their daily duties.
  • Assist in the creation and updating of Payroll Procedures manual and user guides.
  • Import files into payroll for mass transactions. (ex: Retro pay, pandemic bonus, United Way etc.)
  • Find ways to process improve and create efficiencies
  • Other duties as assigned
Qualifications:
  • College/University degree with specialization in payroll accounting.
  • 5 to 10 years’ experience in a computerized payroll environment. An equivalent combination of education and/or experience may be considered.
  • Certified Payroll Professional with PCP or CPM designation - preferred
  • Strong knowledge of Payroll compliance legislation/CRA tax regulations/year end processing as it pertains to payroll reporting.
  • Exposure to OMERS administration and calculation deductions.
  • Working knowledge of year end processing of T4s and OMERS audit, including pension adjustments.
  • Strong knowledge of SAP/HRMS PeopleSoft.
  • Familiarity Employment Standards Act.
  • Understanding of unionized environment, collective agreement process.
  • Understanding of Sunlife benefits, set up, deductions and remittances.
  • Strong analytical skills.
  • Proficient in Microsoft office. (Excel /Word)
  • Exceptional organizational and interpersonal skills.
  • Ability to work in fast paced, pressure environment and flexibility to work additional hours on demand.
Location: In this role you will have the ability to work remotely and attend on-site when required based on operational requirements at 10 Peel Centre Drive. The frequency of on-site activities may vary on a weekly basis and based on operational requirements.
