Job Description

The Village of Port Williams is located in the Annapolis Valley of Nova Scotia between and to the north of the towns of Wolfville and Kentville. The residents of Port Williams enjoy life in a thriving and picturesque Village. An agricultural community, Port Williams has excellent schools, continuous residential growth, business opportunities, fine recreational facilities, easy access to other amenities, all surrounded by the beauty of Minas Basin tides and dyke lands. Our website is https://www.portwilliams.com/The Village of Port Williams is seeking a part-time/permanent Administrative Assistant who is responsible for the Villages daily public facing interactions and providing administrative support for the staff, reporting directly to the Villages CAO.Working hours are 9:00am to 1:00pm, Monday to Friday.Job Duties and Responsibilities- General Administration

  • Be present for public office hours (9:00am to 1:00pm Monday to Friday) to greet and assist all visitors and callers in a pleasant and efficient manner
  • Receive and direct all incoming and outgoing mail and electronic correspondence to the Village Office
  • Work collaboratively with the CAO and department heads to provide administrative support as needed
  • Draft correspondence for the CAO
  • Order supplies and maintain inventory
  • Create monthly tide-time laminated sheets when needed
  • Collect funds and issue dog tags for the Municipality of the County of Kings
- Community Centre Administration
  • Per the facility booking process; schedule, and book facility rooms for the Community Centre
  • Ensure paperwork is completed for facility rentals
  • Prepare and post monthly calendar of activities on bulletin boards in the Community Centre
  • Arranges for kitchen supervisor when renters provide own food service
- Sewer and Water Utility Administration
  • Process and distribute sewer and water connections/disconnection forms
  • Provide notice on passed due accounts
  • Receive water bill payments and forward to the Financial Officer
  • Produce and distribute the Water Conservation Pamphlet annually
  • Remit water test results to Nova Scotia Environment quarterly
- Other duties as needed and directed by the CAOAs the successful candidate you will have a high school diploma or equivalent and will ideally have experience in providing administrative support, especially in a municipal government setting. The successful candidate will be asked to complete a criminal background and vulnerable sector check.In your application, please demonstrate how you posses the following professional skills / competencies:
  • Computer / software skills (e.g. Windows / Microsoft Office)
  • Office equipment skills (e.g. copier, fax, multi-line phones)
  • Represent the Village in a professional and positive manner
  • Strong written and verbal communication skills
  • Organizational skills (e.g. use of filing system, keeping clear records)
  • Work with a team in a professional environment and adhere to a code of conduct
Job Types: Part-time, PermanentPart-time hours: 20 per weekSalary: $14.00-$16.00 per hourSchedule:

Education:
  • Secondary School (required)
Experience:
  • Front desk: 1 year (preferred)
