  • Manage the schedule and correspondence of the President & CEO
  • Take initiative to resolve issues and ensure effective functioning of the Office of the CEO
  • Assist with the scheduling and coordination of various meetings
  • Draft, review and send internal and external correspondence
  • Arrange travel as required
  • Lead the preparation of presentations in collaboration with executive team members
  • Collect and/or completes information for various reports and surveys Coordinate employee communication approaches to drive employee engagement and performance
  • Handle sensitive and confidential financial, legal, personnel and organizational information.
The Executive Assistant is also required to maintain confidentiality and professionally interact with management, employees, and the public. Other duties shall be assigned, as necessary.Board of Directors:The Executive Assistant also provides full support and facilitates the efficient functioning of the Board of Directors of CAA Atlantic Limited.Job Duties:
  • Organizes and supports Board and Board Committee meetings including the Annual General Meeting with the accompanying requirements
  • Works closely with the President & CEO in preparing for all Board and Board Committee presentations including agenda and meeting notices
  • Ensures that all administrative / governance requirements are met including meeting notes / minutes, records, posts, and Board material
  • Provides, as needed, support to Board Chair and Committee Chairs in performing their role
  • Ensures Board documents, bylaws, Directors Manual, and policies are kept up to date (I.e., Principles of Governance, Governance Calendar, Skills Matrix, etc.)
  • Coordinates all onboarding paperwork for new Directors
  • Manages any Director benefits (I.e., ICD membership, CAA membership, Orion travel medical coverage, etc.)

Education and Experience
  • Post-secondary diploma in Business Administration, or relevant discipline, required
  • Extensive knowledge of governance practices
  • 5+ years working with Board of Directors
  • 5+ years of experience in a senior administrative or coordinator role
  • Experience in supporting a Board and the accompanying governance requirements would be considered an asset
  • Experience in organizing larger meeting events
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Microsoft Teams
  • Strong knowledge of office procedures and practices
