This role is based out of our Saint John, NB office but as an organization that embraces flexibility in work, you will have the ability to work from home.Come join an organization that has been recognized as the Most Trusted Brand in Canada four out of the last five years and help us continue to evolve into the most trusted Member organization and top employer in Atlantic Canada.What youll doResponsibilitiesCore Responsibilities:Office of the President & CEO:Manage the schedule and correspondence of the President & CEOTake initiative to resolve issues and ensure effective functioning of the Office of the CEOAssist with the scheduling and coordination of various meetingsDraft, review and send internal and external correspondenceArrange travel as requiredLead the preparation of presentations in collaboration with executive team membersCollect and/or completes information for various reports and surveys Coordinate employee communication approaches to drive employee engagement and performanceHandle sensitive and confidential financial, legal, personnel and organizational information.The Executive Assistant is also required to maintain confidentiality and professionally interact with management, employees, and the public. Other duties shall be assigned, as necessary.Board of Directors:The Executive Assistant also provides full support and facilitates the efficient functioning of the Board of Directors of CAA Atlantic Limited.Organizes and supports Board and Board Committee meetings including the Annual General Meeting with the accompanying requirementsWorks closely with the President & CEO in preparing for all Board and Board Committee presentations including agenda and meeting noticesEnsures that all administrative / governance requirements are met including meeting notes / minutes, records, posts, and Board materialProvides, as needed, support to Board Chair and Committee Chairs in performing their roleEnsures Board documents, bylaws, Directors Manual, and policies are kept up to date (I.e., Principles of Governance, Governance Calendar, Skills Matrix, etc.)Coordinates all onboarding paperwork for new DirectorsManages any Director benefits (I.e., ICD membership, CAA membership, Orion travel medical coverage, etc.)What youll needQualificationsEducation and ExperiencePost-secondary diploma in Business Administration, or relevant discipline, requiredExtensive knowledge of governance practices5+ years working with Board of Directors5+ years of experience in a senior administrative or coordinator roleExperience in supporting a Board and the accompanying governance requirements would be considered an assetExperience in organizing larger meeting eventsProficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Microsoft TeamsStrong knowledge of office procedures and practicesCore CompetenciesAbility to work independentlyStrong communication skills-verbal and writtenCapable of organizing work and meeting deadlines while juggling other prioritiesStrong problem-solving skillsKeen attention to detailsResourceful and flexibleStrong interpersonal skills, diplomatic and professionalWere looking forCore SkillsAdaptable and Flexible Board Governance Microsoft Suite Office Administration Office Procedures Written CommunicationLook for yourselfPhoto GalleryA little bit about usCAA AtlanticBased in Atlantic Canada, CAA Atlantic has more than doubled in size in the past 10 years and now serves more than 285,000 Members in all 4 Atlantic Provinces.
