If you are an innovative thinker with a positive attitude and a commitment to quality, we want you to help us make St. John’s a city where people want to live and feel they belong.The OpportunityThis incumbent will report to the Manager of Housing and will work closely with the Housing team providing full administrative support for the Housing Division.Accountabilities

  • Process and file administrative material including correspondence, applications, tenant information, reports, and forms.
  • Assists the Tenant Relations Officer with the application processing, rental renewals and financial monitoring and tracking of tenant accounts and collections of arrears of tenants and former tenants.
  • Prepare, create and update excel spreadsheets, Word Documents, ACR issues and work orders/service requests as received by tenants, city workers, and ACR issues.
  • Create meeting agendas based on direction from the management team and take minutes for staff meetings
  • File management, maintaining both paper and electronic records management systems
  • Maintain housing lists and compile monthly statistics in the Housing Division.
  • Contact outside contractors (plumbing, appliance repair, pest control, telecommunications requests) and coordinate the facilitation of repairs generated from work orders and follow up on the service, if required.
  • Provide information to the public on Divisional programs.
  • Perform other related duties as assigned by the Manager.

  • Three (3) years’ experience in a position with similar duties and responsibilities along with proven experience in basic general accounting practices.
  • Experience working in a psychology or sociology environment would be considered an asset.
  • Experience with, or willing to learn applicable software.
Specific Skills –
  • Proficient in data entry, typing, filing, spreadsheets and word processing is required.
  • The ability to carry out verbal and written instructions accurately and in a timely fashion.
  • Efficiently and accurately communicate with a diverse population in a tactful and diplomatic manner in situations of a difficult nature, verbal, in person, virtual and in writing.
  • Must possess strong organizational, multi-tasking and time management skills with high attention to detail and independent decision-making ability consistent with organizational policy.
  • Respect for confidentiality and discretion,
  • Ability to work independently and efficiently with minimal supervision, but also be able to work as a team member and easily adapt to new work methods and procedures.
  • Customer service oriented with a high degree of responsiveness, tact, discretion and an appreciation for confidentiality and professionalism; Ability to exercise good judgment and be courteous and tactful.
  • Knowledge of affordable and social housing would be considered an asset.

Physical Requirements
  • Read and sit for an extended period.
  • Must have finger dexterity/grasping ability to operate issued equipment/devices, or a computer.
