Ocean Frontier Institute(Contractual Position to July 31, 2023, with Possibility of Extension)This position is funded through an external grantDUTIESThe successful applicant will perform responsible and varied secretarial support for the research initiatives of the Ocean Frontier Institute and will be responsible for assisting with administrative staff functions such as financial, administrative, and human resource tasks within the Institute. Duties include providing budget and administrative support to the Manager of Operation; reconciling monthly Banner statements of grant and special purpose funds; coordinating the receipt, review, processing, and recording of a variety of purchasing, accounting, and HR documents; auditing travel claims for accuracy and adherence to University policies; using the Banner HR system to enter student time and staff leave requests; liaising with administrative departments on policy issues; monitoring fixed assets; preparing financial and analytical reports for special projects; responding to requests for general assistance promptly and appropriately; ensuring follow up on current issues; composing, preparing, and formatting correspondence, reports, and presentations; establishing files and maintaining records; arranging meetings and appointments; providing secretarial support to committees, as required; liaising with senior executive on various matters; assisting with arrangements for conferences and workshops; screening and responding to email received through the office email account; and performing other related duties as required.QUALIFICATIONSExperience (5-7 years) in progressively responsible administrative support work; graduation from a post-secondary program in office administration or business administration; or any equivalent combination of experience and training. The ideal candidate will have excellent interpersonal skills; proficiency with MS Office, including spreadsheet design and manipulation; knowledge of Banner Systems; and thorough knowledge of University policies and procedures. A high level of organizational ability and demonstrated effectiveness in an office environment is required.SALARY $44,310 - $62,135 per annum (Non-Bargaining)CLOSING DATE August 23, 2022COMPETITION NO.
