Corporate Investigations CoordinatorGAME ON – OLG needs youWe’ve said GAME ON, and we mean it – OLG is rapidly transforming its organization to better serve Ontarians by delivering great gaming experiences through our digital, retail lottery, and land-based casino channels. In our fiscal 2019-20 year alone, OLG delivered over $2.3 billion in net profit to the Province of Ontario. OLG is now expanding our horizons even further, with a new strategic direction, to become a world class gaming entertainment leader with a globally admired digital platform.We are ready to take this game to the next level and need a passionate Corporate Investigations Coordinator to be responsible for the coordination of Investigations’ files to ensure efficient, accurate and timely processing of file duties. Duties will also include administrative support for Investigations and cross-support for Compliance Advisory & Oversight team as required.YOUR ROLE IN THE GAMEReporting to the Director Corporate Investigations, you will be empowered to:

  • Uphold duties that include a combination of tasks related to managing the workflow for investigation files. This may include File Creation, File assignment, and file escalation and tracking.
File Creation
  • Creation of General Investigation (GIU) case files including Prize Claims, Forensic Investigation Unit (FIU) investigation requests
  • Creation of investigation files related to Retail Inspection, Break & Enter, Robbery & Theft (BERTS), Confidential files, Integrity Matters and Police Assistance requests
  • Create other physical files for Investigations
File Assignment
  • Assign GIU case files to investigators including Prize Claim Investigations, FIU Investigations, Retail Inspection Cases
  • Mystery Shop & ID25, BERTS Investigations Confidential Investigations - Integrity Matters, Police Assistance requests, Internals.
Prize Claim Processing
  • Create Prize Claim Review PDF packages, resolve claims and forward to the Prize Centre
  • Manage claim status/ Ticket location and verify claim details and in IPS
File Escalation to AGCO/OPP
  • Ensure all required information and evidence is regularly delivered to the OPP/AGCO including physical delivery of evidence that may assist in a criminal or regulatory investigation
  • Create, maintain, and update various spreadsheets (specific to files escalated to OPP) with statistics to populate standard monthly internal reports and standard quarterly reports
  • Consolidating and delivering GIU files for AGCO/OPP further review, tracking and managing iAGCO submissions
  • Monthly Validation Procedures
FIU Escalation
  • Monitoring FIU Escalation queue for penalty applications using different resources/tools, process flows
  • Processing suspension decisions in central database, store all relevant documentation in accordance with records retention practices
  • Send offence letter according to RPM policies with penalty application, process, logging, documentation; fees (if applicable); includes letter with multiple offences
  • Process flow in MS Dynamics, attaching files and adding notes, substantiated offences (RPM section)
  • Using IQS to confirm number of violations, appropriate penalty, ownership change
  • Sending calendar reminders/invitations to GIU and FIU for suspensions
  • iAGCO logging for suspension notification – attaching and documenting iAGCO receipts
Administrative
  • Logging of Investigator weekly reconciliation time reports
  • Produce a monthly audit of GIU Investigation files
  • Draft correspondence to claimants regarding investigation updates and denied claims, for review by Sr Manager Investigations
  • Provide technical assistance for GIU Investigators for MS Dynamics and Siebel
  • Integrity Matters report tracking
  • OPP-OLG shared drive access password resets for OPP personnel – contacting IT for password or technology-related issues
  • Review files to ensure, among other things, that the files are complete and that information is validated
  • Organize team meetings, create and distribute minutes including follow-up, Q&A documents and assigning of action items if required to ensure follow-up
  • Prepare documents including correspondence, executive approval requests, purchase requisitions, travel authorizations and cheque requisitions to ensure timely resolution of issues and/or requests
Coordination with Compliance Advisory & Oversight
  • Coordinators will work with the Coordinator in the Compliance Advisory & Oversight team to ensure cross-coverage of duties where required.
  • Duties will be assigned by Director, Compliance Advisory & Oversight and will include administration of New Initiative Compliance Engagement Program.
WHAT YOU NEED TO PLAYWork Experience: 1-2 years of related experience.Education: Post-secondary university or college degree in business administration, law, finance or equivalent. Demonstrated ability to oversee the coordination of several processes for large teams (e.g., coordinate department meetings, training sessions (with internal staff and external vendors), budgets, tracking mechanisms, information requests (FOI requests, AGCO requests, OLG’s internal Audits, ILC audits, etc.). Ability to perform daily clerical functions such as manage calendar, preparing correspondence, receiving visitors and arranging conference calls/meetings. Knowledge of the Criminal Code, the Gaming Control Act, the Ontario Lottery and Gaming Corporation Act, the Provincial Offences Act, as they relate to OLG investigations.Critical Skills: Excellent verbal communication and interpersonal skills including a professional business manner in both person and on the telephone. Strong written communication with a focus on accuracy and attention to detail, including spelling, grammar and the ability to compose routine correspondence and edit draft documents.
