Here’s a bit about POGO:Pediatric Oncology Group of Ontario (POGO) works to ensure that everyone affected by childhood cancer has access to the best care and support. We partner to achieve an excellent childhood cancer care system for children, youth, survivors, their families and healthcare teams in Ontario and beyond. POGO champions childhood cancer care, and as the collective voice of this community, is the official advisor to Ontarios Ministry of Health on childrens cancer control and treatment. POGO is a non-profit organization with charitable status, here for kids with cancer, for now, for life.Here’s what you will do:The Executive / CEO Office Administrator will complete a broad variety of tasks that facilitate the CEO & Medical Director’s ability to effectively lead the organization, including supporting organizational Human Resources and the POGO Board. The incumbent will be required to anticipate needs, think critically, project manage and offer practical solutions to problems with a high level of professionalism. You will:
  • Serve as a point of contact for internal and external stakeholders, on all matters pertaining to the CEO, including many of a highly confidential or critical nature;
  • Manage all aspects of the CEO’s calendar, keeping them well informed of upcoming commitments and responsibilities. Anticipate the CEO’s needs in advance of meetings, conferences, etc.
  • Complete a broad variety of administrative tasks including: tracking priorities, designing and producing documents, reports, and presentations; collecting and preparing information for meetings with staff, the board and outside parties; composing and preparing correspondence; maintaining records and contact lists, coordinating meetings and managing meeting logistics and assisting with special projects;
  • Gather information and identify, recommend and implement operational changes to improve productivity of our team;
  • Create and maintain Board-specific web content;
  • HR Administration: compile and maintain employee information, administrative support of recruitment activities, assist with onboarding, orientation, and supporting other HR initiatives;
  • Board Coordination: serve as a key point of contact for the POGO board directors and board committee members; manage the board calendar, projects, communications, meeting and membership logistics and track follow-up items;
  • Manage review and update of HR and Board policies and procedures and corporate by-laws and coordinate review and approval processes.
Here’s what you will need to be successful:
  • Completion of college diploma in business administration or other relevant field;
  • Minimum 5 years’ experience in a similar role, including working with committees and Boards, ideally in healthcare and/or not-for-profit environment. Experience working with healthcare professionals and knowledge of medical terminology are assets;
  • Proven ability to plan and coordinate small and large meetings both in person and online;
  • Exceptional organizational skills and impeccable attention to detail with a high degree of accuracy;
  • Information gathering and analysis, project management, research and analysis skills;
  • Expert proficiency (MS Outlook, PowerPoint, Word). Basic proficiency (MS Excel). Experience with WordPress and Raiser’s Edge NXT an asset;
  • Strong written and verbal communication skills;
  • High acuity in addressing incoming inquiries, and triaging response based on subject matter and urgency;
  • High degree of professionalism in dealing with different stakeholders including board members, clinical leaders and administrative executives, etc.
  • Customer service oriented with strong relationship management skills;
  • Human Resources administration, regulatory experience and knowledge of Board bylaws are an asset;
  • Able to maintain a high level of integrity and discretion in handling confidential information
  • Proven ability to complete a high volume of tasks and projects with minimal guidance.
