Job Description

WORK ILLUSTRATION:The Operation Support Services Administrator provides administrative support in the day-to-day operations of the Fleet & Equipment Services department.The incumbent is expected to behave ethically and follow the established code of business conduct, policies and internal control procedures, laws and regulations governing Toronto Hydro.Toronto Hydro has implemented a mandatory vaccination requirement for all its employees. Toronto Hydro will provide reasonable accommodation to individuals who cannot be vaccinated due to disability or any other ground protected by the Ontario Human Rights Code.KEY RESPONSIBILITIES:

  • Provides day-to-day administrative and clerical support to various Directors, or Managers in operations, including: customer service requests, preparation of meeting material and follow-up, appointment scheduling, synthesizing required documents/data to assist leaders to make informed decisions, etc.
  • Help coordinate operational projects - liaise, consult and communicate with key project stakeholders, including: contractors, customers, equipment suppliers, and other utilities
  • Maintains and manages departmental record-keeping system based on recognized records management practices. Receives incoming queries on behalf of the department. May act as single point of contact for the input/output of documentation to/from the group.
  • Makes recommendations on enhancements to streamline and improve the administration, coordination and delivery of processes within the assigned business unit.
  • Input, update or verify various databases or programs
  • Provide support for invoice administration
  • Compile and summarize statistical reports
COMPETENCIES:
  • Undergraduate Degree or College Diploma
  • One (1) or more years experience in an operations administration and/or support role
  • Highly skilled in work processing, graphics/presentation software, spreadsheet, and electronic calendar/mail software
  • Strong organizational skills and ability to prioritize effectively and meet deadlines; time management skills; and office management skills. Uses time well; prioritizes and completes work within deadlines (breaks down work into process/steps), orchestrates multiple activities at once to accomplish a goal
  • Can work independently in a faced based operational environment
  • Excellent interpersonal skills with proven ability to provide courteous, reliable administrative support that demonstrates a commitment to high quality customer service.

Toronto Hydro has introduced a Hybrid Work Arrangement. This position allows for remote work up to three days per week, based on business needs. Employees will be required to come onsite on those days when they are involved in activities that they or their leader feel are better conducted in person.
