Transforming the Future with Convergence of Simulation and Data Administrative Support General Job SummaryOur client in Waterloo, ON is looking for an Administrative Support General. This is a contract position.What You Will DoWe are seeking an Operations and Facilities Assistant to support the Operations and Facilities Manager in ensuring the smooth functioning of our organization. This role requires meticulous attention to detail, excellent organizational skills, and the ability to manage multiple tasks simultaneously. The successful candidate will be proactive, resourceful, and adept at problem-solving in a fast-paced environment, as well as possessing exceptional customer service skills. Responsibilities: Address day-to-day issues, including landlord/building maintenance concerns, and provide timely resolutions. Manage office supplies, coffee vendor, and food supplies. Handle all badging, fob, and security requests, including coordinating camera surveillance when required. Provide media support for conference room setups and video conferencing. Manage day-to-day shipping and receiving requests, both domestic and international, and facilitate special projects as needed. Offer onsite support for all operational resources, including new hires across various work arrangements (in-office, hybrid, remote). Support initiatives related to employee life and culture, including event planning and catering arrangements, social committee. Assist in coordinating intern onboarding, offboarding, and orientation programs. Manage Business continuity planning, including emergency plans, fire drills, etc. Joint Health and Safety Committee participation and management of First Aid supplies, certificates, etc.Basics 2+ years of experience in a similar role, preferably in a corporate environment. Bachelor #39;s degree in Business Administration or a related field preferred. Proficiency in Microsoft Office Suite and experience with purchasing software such as Ariba is desirable. Strong communication skills, both written and verbal, with the ability to interact effectively with stakeholders at all levels. Excellent organizational and time-management skills, with the ability to prioritize tasks effectively. Proven ability to work independently and collaboratively in a team environment. Position fully onsite. Provide support for the Operations and Facilities Manager during periods of absence. Assist in policy updates and communications to ensure all employees are informed of relevant changes. Assist in overseeing ongoing construction projects, special projects, and cleanup of obsolete or unused IT equipment, including accessories and proprietary hardware. Assist in space/cube planning for hybrid work environments to optimize productivity and collaboration. Preferred College degree/diploma/certificate.
