Job Description

POSITION SUMMARY: In support of the mission and vision of the Multicultural Council of Windsor & Essex County (MCC) the Support Worker will be responsible for providing all aspects of administrative support required for the efficient operation of the Client Support Services Program for Newcomers to Canada as funded by Immigration Refugees and Citizenship Canada (IRCC).QUALIFICATIONS AND EXPERIENCE: § Post-secondary education and/or equivalent experience, with emphasis in office administration§ Minimum three years of administrative support experience§ Excellent written and oral communication skills§ Minimum 60 wpm typing skills§ High proficiency working with database systems§ Excellent time management, organizational abilities, problem solving, planning and interpersonal skills§ Proven ability to work in a team based environment§ Ability to multi-task with a strong attention to detail§ Self-motivated, proactive, ability to prioritize tasks and projects, and meet deadlines in a fast-paced environment§ Experience in concurrently handling projects for a large client caseload§ Provide high-quality customer service to diverse populations including those from a cultural, gender, socio-economic or other background§ Sensitivity in working with people from diverse backgrounds§ Proficiency in Microsoft Office is a must§ Knowledge of a second language an asset§ Experience in a not for profit sector is an asset§ Must possess a valid vulnerable sector police clearance, renewed every 3 yearsAREAS OF RESPONSIBILITY: GENERAL

  • Prepare internal documents for new client arrivals
  • Generate and maintain electronic client files and client profiles in all MCC databases and servers
  • Ongoing input of client data into all MCC databases and tracking sheets as necessary
  • Extraction and validation of data in MCC databases and tracking sheets for bulk upload into iCARE required by the 5th business day of the month
  • Assist in gathering required information for programs
  • Troubleshooting and resolution of issues related to internal systems as needed
  • Provide ongoing daily support for program staff
  • Arrange for interpreters and/or language aides as required
  • Verify and process language aid forms
  • Prepare, review and submit payment requests to the program supervisor, and follow up on outstanding requests
  • Track program delivery expenses and verify invoices for accuracy
  • Assist in month-end financial and budgeting tasks and compile in-kind contributions
  • Regularly update group activities calendar
  • Schedule workshops, orientation sessions, appointments, etc.
  • Schedule and attend meetings and take detailed minutes
  • Attend professional development opportunities as required
  • Compile and verify narrative and statistical reports for the program
  • Conduct monthly inventory checks
  • Performs general administrative duties to include but not limited to: typing, photocopying, scanning, faxing, mail distribution, filing/storage (on- and off-site), ordering supplies
  • Assist with organizing client and program events
  • Other duties as required
