At the University of Manitoba, what inspires you can change everything.The opportunity: The Administrative Assistant provides administrative and executive assistance to the Head, Associate Head, chairs of Standing Committees, Director of the Media Lab, academic staff, support staff and students. The Assistant is responsible for all administrative matters related to the operation of the Department. This includes the management of the Departmental budgets, supervision of support staff, administration of collective agreements, management of Departmental space and equipment, and the management of students academic activities and related proceedings.The qualifications and experience we’re looking for: · Undergraduate degree in a related discipline required.· Two year of directly related administrative experience providing senior level support to a dedicated program required, preferably in the University community at the departmental level.· A minimum of 6 months of supervisory experience required.· Experience with interpretation of collective agreements required.· Experience with HRIS, payroll and finance system required.· Budgeting experience is required with demonstrated accuracy and conscientiousness in all accounting and budgetary matters essential.· Knowledge of university regulations, programs and procedures as they relate of an academic unit are an asset. - An acceptable equivalent combination of education and experience may be considered.· Knowledge of the regulations, policies, procedures, academic programs and/or courses within the University preferred.· Knowledge and experience with University systems and applications (UM Careers, VIP, JUMP, EPIC, Concur, Banner and Aurora Student) is preferred.· Excellent interpersonal verbal and written communication skills required· The abilities to establish and maintain effective working relationships with faculty, support staff, students and the public required.· Ability to execute tasks within defined timelines while managing multiple priorities is required.· Excellent planning and organizing skill is required.· Strong attention to detail required.· Demonstrated leadership and supervisory abilities is required· Proficiency at an intermediate level in utilizing Microsoft Office (Word, Excel, Access), Outlook Calendar, email system, internet and willingness to learn or adapt to new programs is required.· Able to problem solve and make independent decisions required· Ability to take initiative trouble shoot administrative challenges required.· Satisfactory work record, including satisfactory attendance and punctuality is required.Why the University of ManitobaAlong with being one of Manitoba’s top employers, we are proud to provide a collaborative and enriching work environment.
