Job Description

Administrative Assistant (Radiation Protection Branch)Job SummaryLocation: Pinawa, ManitobaSchedule: Four (4) - 10 hour days - Monday to ThursdayThe Administrative Assistant reports directly to the RP (Radiation Protection) Branch Manager and Environmental Management Branch Manager.The Administrative Assistant provides administrative, clerical and office management support services to the branch manager and to the branch members at large. Interfaces effectively on branch business with other company departments and outside agencies.CNL (Canadian Nuclear Laboratories) employees perform all duties in accordance with established health and safety and regulations/guidelines, policies and procedures (i.e. utilizing personal protective equipment as per safe work procedures). Notifies management or supervisor of all occurrences, injuries, illnesses or safety and health concerns which are likely to harm themselves, their co-workers or any other on the premises in a timely manner and in accordance with established reporting requirements.QualificationsEducationSecondary school graduation diploma, or relevant 2 (two) year College program with no experience; or equivalent in experience, additional education, and/or training.ExperienceTwo (2) to four (4) years’ relevant experience.Abilities and SkillsThe incumbent should have:

  • Competent working level knowledge of word processing, communication, spreadsheet and data base applications. Specific skills in Word, Excel, PowerPoint, Outlook and Internet Explorer. Excellent keyboarding skills, familiarity with use of office equipment and data filing practices are required.
  • Must have the ability to learn and adapt to software and other technical changes.
  • Must have good interpersonal skills, along with efficient and effective communication and organization skills.
  • Must understand and apply CNL’s corporate document standards and rules (formats, storage and numbering protocols).
  • Must be proficient with web-based systems.
  • Must have the ability to maintain and update databases, track and gather data, compile reports.
  • Must have good time management skills.
  • Must have strong initiative, a drive to succeed, a positive attitude, and consistent, careful attention to detail.
  • Must be committed to quality work and professional standards, and dedicated to the successful completion of all requirements.
  • Must complete CNL specific training as identified and scheduled by the Branch Manager.
  • Initiative and judgement to organize and maintain flow of work and accuracy of records;
  • Must be punctual, dependable and safety minded;
  • Detail oriented with the ability to meet deadlines;
  • Exceptional organizational skills, able to prioritize and time management is required;
  • Ability to understand detailed information is essential;
  • Demonstrates responsibility and is accountable for accurately handling the details associated with one’s work;
  • Conscientious about accuracy;
  • Ability to adapt to a changing environment and response with initiative;
  • Excellent interpersonal communication skills and proven ability to maintain successful working relations at all levels within the organization and with external stakeholders; and

  • Able to work extended hours and off normal work shifts to support project needs.
Functions and ResponsibilitiesFunctions and responsibilities include but are not limited to the following:
  • Performs and manages a variety of sensitive and demanding administrative support duties to maintain an effective and efficient office operation. Under the direction of the manager, prepares and organizes a variety of material with minimal instruction and guidance. Provides administrative information and assistance to meet business objectives.
  • Provides support to the managers for all meetings, minutes and documents requested
  • Enters Time cards for Surveyors, Decontamination Workers, Contamination Workers, RP (Radiation Protection) Assistants weekly and ensures all time cards are submitted and approved on time.
  • Does all ordering for RP branch (i.e. office supplies, instruments, and clothing) and what is requested by EnvP branch.
  • Works with Sample Management Office, Counting Room and ISOCS for filing Chain of Custodies in TRAK
  • Books travel for RP branch and when required for EnvP. Works with staff members to apply for AMEX cards when needed.
  • Creates expense reports when requested and follows them up for staff members.
  • Files all Calibration Sheets for the Instrument Shop (RP instruments)
  • Books all branch meetings and works to make the Safety Presentation specific to the RP branch.
  • Communicates all training to the branch and ensures all mandatory training is complete.
  • Creates and maintains all hiring folders, books interviews, reference checks upon request and on boards all new employees.
  • Works with Dosimetry on filing, ordering and creating labels.
  • Works with EnvP on all audits and required, catering, expenses and bookings.
  • Maintains confidentiality in all matters.
  • Performs other duties as assigned.
