The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.Position OverviewReporting to the Director of Patient Services - Medicine, the incumbent is responsible for the effective and efficient management of the office, providing administrative and secretarial support to the Director, the Program Team, and the Managers of Patient Care.Duties include but are not limited to: managing the Outlook calendar for the Director, coordinating meetings, preparing materials for meetings, attending and recording minutes, composing confidential correspondence and typing a variety of letters, memoranda and reports. Assists the Financial Analyst with various Health Sciences Centre departmental forms. Supervises and monitors the workload of the 6.5 EFT Secretary 3. Provides training and manages the departmental timekeeping functions, performs miscellaneous administrative and secretarial duties.ExperienceThree to five years previous experience in a senior secretarial position requiring considerable communication with senior level management staff.Previous supervisory experience preferred.Education (Degree/Diploma/Certificate)Complete high school education, Manitoba standards, required.Successful completion of a recognized secretarial training program required.Additional training in supervision, administration or management preferred.A combination of education and experience may be considered.Qualifications and SkillsPreference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.Typing 50-60 wpm required.Medical terminology preferred.Demonstrated proficiency in the use of Microsoft Office including Excel, Word, Outlook, Access and PowerPoint required.Knowledge of Environment for Scheduling Personnel (ESP) or other service based staff scheduling systems preferred.Knowledge of SAP (Systems, Applications & Products) Program preferred.Familiarity with the Health Sciences Centre and Winnipeg Regional Health Authority internal structure, corporate policies and procedures, and physical layout preferred.Must have excellent communication and interpersonal skills.Must have decision making ability, good judgment, initiative, diplomacy and the ability to coordinate work flow and develop efficiencies.Must be able to function with limited guidance and supervision.Physical RequirementsContinuous use of personal computer.Fast paced, high stress environment with a heavy workload.Salary is commensurate with education and qualifications.We have a unique ability to work together to make health care better.
