Qualifications:Essential Criteria:
  • Certificate or diploma in office administration or an equivalent combination of education and experience.
  • Experience providing confidential administrative support including the preparation of correspondence
  • Experience communicating with the public by telephone and in person.
  • Experience working with MS Office (including Word, Excel, Power Point and Outlook).
  • Demonstrated organization and problem-solving skills.
  • Excellent interpersonal skills to communicate effectively and courteously.
  • Excellent written communications skills.
  • Ability to work both independently and co-operatively in a team environment.
Desired Criteria:
  • Knowledge of Sharepoint and Maximizer or similar database system would be an asset.
Duties:Reporting to the Manager of Administration, the Administrative Support Assistant is responsible for providing overall reception, secretarial, administrative, and clerical support to the Winnipeg Ombudsman’s office. The incumbent will receive enquiries from the public relating to matters of administration and access and privacy. The incumbent is responsible to greet all visitors and callers, identify the complaint, explain the role and function of the office, assess jurisdiction, explaining avenues of review or appeal and make appropriate referrals for non-jurisdictional concerns. The incumbent is responsible for processing daily inquiries, tracking attendance, inventory control and yearly archives.
