If you are a detail-oriented professional looking for a fun, hardworking and collaborative team that supports learning and continuous improvement, we want to meet you!Summary:The Assistant Property Manager, Condominium, for Cushman & Wakefield | Stevenson is an exceptional communicator who has the passion and drive to serve the client, ensure their property is well looked after, and ensure that the Condo Board and all owners are happy and secure. The Assistant Property Manager, Condominium, with mentoring from the Acting Director of Condominium, supports and assists the Condominium Board in accordance with the Management Agreements. The Assistant Property Manager, Condominium is involved in all aspects of day-to-day operations of the property and handles all owner complaints and service requests. The Assistant Property Manager portfolio will be maximum of 370 units and no more than 8 condominium properties, and will complete all manager and administrative duties (with assistance from the Senior Property Administrator) relating to the portfolio.The Assistant Property Manager, Condominium reports directly to the Director, Condominium.Required Skills and Abilities:

  • Post-secondary education at the College or University level is required.
  • 1 – 3 years of Property Management experience at least at the Property Administrator level is required.
  • CCI or RCM or CPM designation in progress is an asset.
  • Knowledge of the Condominium Act an asset.
  • Experience with monthly and annual budgets.
  • Working knowledge of building systems such as HVAC, roofing systems etc. an asset.
  • Must have valid Driver’s license and access to a vehicle.
  • Ability to work effectively in a rapidly growing/changing environment with a high degree of resourcefulness, flexibility and adaptability.
  • Computer Skills – intermediate to advanced skills using Microsoft Outlook, Excel, Word and other Microsoft Office programs is required.
  • Ability to work effectively in a rapidly growing/changing environment with a high degree of resourcefulness and adaptability
  • Communication Skills - Ability to communicate effectively and professionally, both oral and written with both internal and external stakeholders; Experience communicating with media an asset.
  • Relationship Skills –Ability to develop and sustain cooperative working relationships at all levels of the organization; be a mature and self-motivated team player with good conflict-resolution and people management skills; develop productive relationships with vendors
  • Organizational Skills – Ability to allocate one’s time effectively and manage tight deadlines; ability to work under pressure and achieve quality results; ability to handle multiple demands and competing priorities, ability to project manage and delegate where applicable
  • Decision Making Skills – Ability to resolve problems using facts and sound reasoning; ability to achieve goals using a strategic approach; proven innovation with a willingness to manage and adapt to change.
Duties and Responsibilities:
  • Works collaboratively with the Board to create and implement Property Management and Preventative Maintenance plans with the assistance of the Acting Director, Condominium.
  • Ensures an in-depth knowledge of each property within the assigned portfolio. Continually strives for exceptional maintenance and management in accordance with approved budgets and PM agreements.
  • Ensures 24-hour emergency coverage is scheduled for properties at all times.
  • Conducts weekly or as needed inspections of the property and common areas to ensure compliance with the agreement and the proper upkeep of the property.
  • Ensures a smooth process for Owners that are selling and exiting their Condo as well as a smooth process for new Owners purchasing the property.
  • Corresponds with the Board regarding common area costs and property taxes.
  • Prepares, oversees and administers contracts for provision of property services, such as cleaning and maintenance, snow removal, landscaping, etc. Approval of the contracts will be done only with the approval of the Acting Director, Condominium.
  • Ensures the Corporation’s insurance is current and up to date.
  • Prepares and distributes legal documentation as required.
  • Completes photocopying, scanning, saving, and filing as required.
  • Prepares all General correspondence to Board Members and Owners for various items / issues including welcome packages, notices, etc.
  • Prepares, implements and oversees annual operating budgets for each building in assigned portfolio with the assistance and approval of the Acting Director, Condominium.
  • Presents budgets to all respective Condominium Boards for approval.
  • Prepares monthly financial statements and disbursements, ensuring they are accurate and timely.
  • Provides excellent owner service; responds to owner requests/problems in a timely and courteous manner, and generates work orders directed to vendors or maintenance staff. Follows-up with the Owner to ensure satisfactory resolution of the issue.
  • Responds to Owners and Board Members in a timely manner regarding all inquiries, requests and concerns.
  • Takes part in conflict resolution with the Board to ensure the best possible outcome.
  • Ensures any fee collection and overdue accounts are dealt with in a timely manner.
  • Maintains professional working relationships with all stakeholders including trades at all times.
