Job Description

Note: The work described in this posting will be conducted primarily in-person with the possibility of some remote work.Preference will be given to candidates who self-identify as IndigenousResponsibilities:

  • Overall responsibility for coordinating the Aboriginal Student Services Centre (ASSC), including hiring, supervising and training of staff, allocating work assignments, developing and implementing modifications in procedures, and recommending changes to enhance student service delivery.
  • Ensure service/support objectives for recruitment, transition, and retention of Indigenous students are achieved through research and program evaluation.
  • In consultation with the Registrar, develops and manages the ASSC budget .
  • Prepares postings for student Tutors, Ambassadors and University Preparation Program (UPP) Instructor positions; Assists Transition Year Program (TYP) Coordinator with all TYP Mentor and Tutor recruitment and hiring; prepares and submits payroll.
  • Works with other staff and students to organize the ASSC/ASC annual Pow Wow.
  • Provides guidance and support with respect to cultural/traditional teachings and activities offered through the ASSC.
  • Responsible for ensuring and maintaining a safe, respectful, and welcoming environment for staff and students using the Aboriginal Student Centre; in consultation with the Registrar, deals with student behaviour concerns when required.
  • Provides academic and career advising on both an individual basis and in groups using a developmental advising model.
  • Must be fully knowledgeable and inform prospective and current students about admission requirements, Arts, Business and Economics, Kinesiology, Science, Joint Degree/Applied, and Pre-professional programs, course prerequisites, postsecondary scholarship & bursary opportunities, sponsorship and band funding policies deadlines and procedures.
  • Supports academic needs of regular, probationary, conditional, mature and not allowed to continue status students.
  • Provides 1st year advising support to Transition Year Program (TYP) students as needed and contributes to the development and implementation of TYP Orientation.
  • Provides interpretation and clarification related to university policies, procedures, regulations and terminology, utilizing a detailed knowledge of UW policies as well as current trends in higher education.
  • Refers students to community services, upgrading options, internal services such as study skills and writing classes, and other resources as part of the assessment process, to help students reach their goals.
  • Assists with the WebAdvisor course registration process.
  • Maintains an awareness of counselling services, family therapy services, the University of Winnipeg Students Association (UWSA) programs, faculty-based counselling/advising and academic programming.
  • Functions in close collaboration with other Academic Advisors and Student Services personnel, to ensure effective working relationships and smooth student experience across ASSC and other Student Services areas, particularly in retention programming for Indigenous students.
  • Advises students on the formal appeals processes available to students, including financial appeals, prepares and presents appeals and participates in discussion and decision-making at the Senate Appeals Sub-Committee.
  • Implements creative problem-solving strategies when working with potential and current students.
  • Schedules, plans, organizes and conducts events such as guest speaker engagements, potlucks, campus tours, and student social activities.
  • Oversees the Elder in Residence Program; arranges and schedules Elders’ cultural teachings, medicine picking, lodge ceremonies, travel, and Campus requests.
  • Ensures that ASSC staff facilitate the tutoring program (arranging for contacts with Academic Departments, maintaining current tutor lists, etc.), and ongoing development and implementation of programs and services relating to the needs of Indiegnous students (e.g., Library, Counselling, Career Services).
  • Oversees informal activities/functions with other University departments, agencies, Indigenous organizations and community groups as appropriate. Develops and maintains effective working relationships.
  • Collaborates with Marketing and Communications and Student Recruitment for the development of strategic market planning and content updates.
  • Provides information sessions which promote an understanding of Indigenous student issues
  • Works closely with Indigenous Education Authorities, advocating on behalf of students for funding and sponsorship.
  • Oversees the invitation to organizations (both Indigenous and non-Indigenous) to conduct presentations on their organizations and receives job postings via facsimile, mail, email regarding possible employment opportunities for students.
  • Networks through meetings and memberships with Indigenous Organizations, Federal & Provincial departments, Manitoba Advanced Education and Literacy, Aboriginal Education Authorities, Parole Board of Canada, and business and community organizations, and advocates on behalf of students in the program.
  • Works with other ASSC staff to ensure group advising/registration sessions are organized and conducted for rural and northern schools/groups on or off site.
  • Liaises with the Winnipeg Education Centre, Bachelor of Education Program and other programs to facilitate ACCESS Programs.
  • Coordinates the University Preparation Program (UPP), schedules classroom & equipment, course scheduling and outline(s), interviews and selects participants and facilitators, addresses concerns and disciplinary problems.
  • Establishes one-on-one monthly meetings with the instructors and students regarding attendance and student progress and course content.
  • Organizes the GED Provincial testing applications and facilitates transition to the University for successful GED students.
Qualifications:
  • Undergraduate degree required
  • Minimum of 5 years of directly related work experience is required
  • Excellent oral/written communication and presentation skills
  • Supervisory experience is required
  • Must be familiar with prerequisites, mature status admissions, prior learning assessment and education and employment trends in Manitoba and Canada
  • Must have in-depth knowledge and sensitivity to the experiences of Indigenous students, students at risk and issues and opportunities for Indigenous peoples in Canada
  • Must possess a clear understanding of the aspirations of today’s Indigenous youth, their needs within a large, urban community and the relationship between rural and remote communities
  • Must possess a good working knowledge of computers and computer software
  • Must have the ability and desire to establish positive working relationships with students from diverse backgrounds and be able to work effectively in harmony with a variety of full-time and part-time employees, students, staff and administrators
  • Must be willing to work in an environment that has a traditional, sequential student population yet aspires to embrace the underrepresented segments of Manitoba’s population, including Aboriginal students, adult learners, international students and students with special needs
  • Must be able to cope with fluctuations in workloads and changing institutional priorities
  • Must be innovative and show initiative
An equivalent combination of education, experience, skills, knowledge and abilities may be considered.Condition(s) of Employment:
  • Must be legally entitled to work in Canada.
  • Must be able to maintain a flexible working schedule during peak periods, evenings, overtime and near deadline dates.
  • Must have a Valid Manitoba Driver’s Licence and, on occasion, may need to have access to a vehicle (subject to mileage reimbursement).
