Job Description

Responsibilities:

  • Creating, updating and testing degree requirements in the Colleague Degree Audit module. Evaluate, troubleshoot and resolve issues with the Degree Audit module as they arise.
  • Copy or create new degree requirements within the Degree Audit module using Degree Audit syntax and rules, interpreting what is written in the Academic Calendar, and identifying where Equate Codes and Rules might be used.
  • For new or changed programs, create a test plan, execute test cases and record results for both system and client acceptance testing.
  • Provide departments with a verification checklist for Degree Audit/Student Planning configuration.
  • Responsible for testing software updates for Colleague Student Planning as they are released.
  • Consult and clarify with departments, advisors and Senate Curriculum Chair regarding inconsistencies and unclear degree requirements.
  • Review major requirement proposals to determine feasibility of implementation within the Degree Audit module. Provide feedback to departments.
  • Verify the Degree Audit requirements are displayed correctly in Student Planning.
  • Identify errors and inconsistencies between the Academic Calendar and Student Planning, and propose possible solutions Collaborate with Registrar’s Office to confirm that calendar updates are in line with Senate changes.
  • Organize Senate monthly package materials onto Curriculum Spreadsheet and monitor updates.
  • Review, annually, all of new curriculum packages as it pertains to degree requirements to identify new courses, course revisions and deleted courses that may affect degree requirements.
  • Create or revise all course equates and determines impact on both prerequisites and degree requirements.
  • Maintain the prerequisite and co-requisite requirements in Colleague’s course catalogue.
  • Create, modify and test changes to registration rules to ensure that students within cohort groups are able to register without requiring assistance into course sections reserved for their program.
  • Independently produce and edit internal training materials using PowerPoint, Flowchart Software and other software as required.
  • Perform data entry tasks as required in the different functional areas in Records.
  • Assist the Exam Assistant with all aspects of exam preparation for pick up.
  • Assist the Convocation Officer with the mailing of graduation packages.
Qualifications:
  • Completion of an undergraduate degree or certificate in a related discipline is required.
  • Background in Computer Science or Business Analysis would be an asset.
  • 2 years of directly related post-secondary experience, university preferred or an acceptable equivalent combination of education and experience may be considered.
  • Experience with syntax and rule-based systems is required.
  • Experience with developing and executing test plans and recording results to ensure accuracy and quality is required.
  • Demonstrated proficiency using formulas with Excel is required.
  • A good working knowledge in using data base or query languages in a micro environment would be an asset.
  • Possess strong analytical skills, attention to detail, and problem-solving abilities.
  • Ability to understand technical vocabulary and explain technical issues in a non-technical way.
  • Familiarity with University degree requirements.
  • Effective oral and written communication skills.
  • Able to work in an environment of constant interruption.
  • Ability to complete work with accuracy, attention to detail and in a timely manner.
  • Good organizational skills.
  • Demonstrated ability to work independently as well as participate effectively as a member of a team.
  • Ability to treat personal information in a confidential manner.
  • Good working knowledge of computers using Windows, MS Word and Excel.
  • Student Information System (i.e. Colleague) software knowledge would be considered an asset.
An equivalent combination of education, experience, skills, knowledge and abilities may be considered.Condition(s) of Employment:
  • Must be legally entitled to work in Canada.
  • Must be willing and able to work overtime when required.
