The opportunity:Reporting to the Manager, Operations, the responsibilities of the Documentation Administrator will be two-fold. The successful candidate will support our advisors and associates to ensure quality control of documents and that procedures are properly implemented and maintained. Additionally, the incumbent will perform all account opening duties with the highest level of accuracy within expected timeframes.Key responsibilities include:
  • Reviewing and prescreening account opening documents and advising teams of all missed items.
  • Becoming an expert resource person on all policies and procedures concerning managed products and account opening.
  • Being responsible for setting up and the coding of all account’s types.
  • Being responsible for daily/weekly reconciliation to ensure accuracy.
  • Assisting in the establishment of department procedures, implementation and ongoing review of those procedures, striving to create efficiencies.
  • Providing timely and accurate responses to inquiries.
  • Working with other departments as required to support account opening within the organization.
  • Being responsible for the management, distribution, and tracking of account opening documents.
  • Reviewing reports to audit account opening and account updates and ensure compliance with proper procedures.
  • Inputting documents/data on the missing document reports.
  • Managing returned mail and hold mail requests.
  • Maintaining electronic copies of all submitted documentation.
  • Providing a copy of signed documentation and welcome packages to clients.
  • Maintaining e-Forms and all requirements put in place by WAPW, NBIN, CRA and all regulators.
  • Performing other duties as assigned.
The ideal candidate will possess:
  • A bachelor’s degree or diploma in business administration, accounting, finance, or similar field of study.
  • A minimum of 3 years of industry experience, preferably in an administrative or operational capacity.
  • Excellent interpersonal skills.
  • A reliable, consistent work ethic.
  • An ability to quickly adapt to changing needs.
  • An ability to independently manage high volumes of work.
  • An excellent attitude and a commitment to providing extraordinary service.
  • A demonstrated ability to work collaboratively in a team environment.
