Desired Skills and Experience:
  • Post-secondary education in business or a combination of education and experience.
  • 3-5 years’ experience working in a senior administrative role reporting directly to senior management.
  • Excellent verbal and written communications skills.
  • Strong organizational skills with the ability to prioritize multiple tasks, while maintaining excellent attention to detail.
  • Advanced computer skills; particularly in MS Office applications (Word, Excel, PowerPoint and Outlook).
  • Knowledge in databases (Epicor, SalesForce, Smartsheet, Docusign) is an asset.
  • Travel may be required.
  • Regular working hours are 8 am to 5pm but willingness to accommodate flexible hours to meet business demands required.
Essential Functions:
  • Effectively manage the executive’s emails, phone calls, voicemail and direct them as needed.
  • Maintain and monitor the executive’s calendar by planning, organizing and scheduling meetings, conferences and events.
  • Coordinate travel and accommodations.
  • Manage expenses, including preparing and submitting reports to Finance department.
  • Assist in the preparation and distribution of correspondence, documentation, reports and presentations.
  • Provide meeting support including preparing materials, recording minutes and following up on action items.
  • Coordinate and manage special projects, including managing information, ensuring clear roles and responsibilities; tracking tasks and deliverables.
  • Other duties as assigned
