Job Description

The Executive Assistant reports to the Executive Director of Property Management and Resident Relations. The Executive Assistant will be responsible for providing administrative support and clerical services including but not limited to general property management duties and coordination of all types of general office and administrative duties that influence the business.Duties:

  • Ensure all rental payments are collected
  • Inquires with respect to late payments and assists in handling any eviction
  • Meet with prospective residents to show units, conducts interviews, receive rental applications, and explain terms of occupancy
  • Process residents application, conducts credit checks and calls references and ensure all legal documents are signed
  • Distribute and collect leases
  • Ensure all renewals are updated
  • Ensure life safety for all buildings are up to date
  • Creates and distributes marketing materials
  • Addresses and promptly resolves questions, requests, and complaints from residents
  • Assists in conducting unit and property inspections
  • Assists in hiring staff
  • Assists in managing budgets and accounts
  • Reporting of any building issues to the building PM
  • Responds to any building emergencies as required or safety calls
  • Ensure all reporting to the Board of Directors are completed and on schedule
  • Banking duties if required
  • General office duties
  • Schedule meetings and prepare meeting reports and packages
  • Deliver communications for tenants and other stakeholders
  • Respond to requests from local governments and communities to ensure legal compliance in all managed properties
  • Contributes to team efforts by accomplishing related tasks as needed
Required Qualifications:
  • Energetic, flexible, hands-on individual with a high level of initiative
  • Excellent organizational, communication and interpersonal skills
  • Strong computer knowledge
  • Friendly and pleasant manner, reliable, courteous, self-motivated, and professional
  • Ability to work efficiently and meet multiple deadlines with minimal supervision
  • Previous administrative experience in a property management setting would be an asset, but not a must
