At the University of Manitoba, what inspires you can change everything.The opportunity: The Executive Assistant to the Dean provides confidential administrative assistance and secretarial support to the Dean of the College of Nursing. The position is responsible for dealing with many highly confidential items which require strict and careful handling of College and U of M procedures. This position requires the ability to exercise considerable independence in judgment and action, and a high degree of tact, diplomacy and discretion in dealing with all levels of University staff as well as external groups.In this role, you will be responsible for managing the daily activities of the Dean’s Office, managing the Dean’s schedule, interpreting policies, procedures and regulations, and managing the human resource functions related to UMFA, including promotion and tenure. This position is the College expert on the Academic hiring process and is the main information source to the Dean regarding academic appointments. The position is also responsible for the coordination and administration of the academic search process for the College, ensuring that procedures outlined in the UMFA Collective Agreement and policies are adhered to. The Executive Assistant to the Dean has a strong knowledge of the academic search process and communicates effectively with the VP Academic and Provost Office. The position is also responsible for managing the committee structure and supporting the committees chaired by the Dean.The qualifications and experience we’re looking for: - Baccalaureate degree in management, business administration or commerce required.- Master’s degree in related field preferred.- A minimum of 5 years directly related administrative experience providing senior level executive support is required.- Experience in dealing diplomatically with the general public, senior leaders, staff, and students is required.- Experience preparing correspondence on behalf of others in senior positions is required.- Experience in an academic setting is preferred.- Experience in human resource management including University of Manitoba collective agreements, specifically UMFA, and knowledge of Human Resource policies.- Experience with VIP, Aurora, and Concur is preferred.- An acceptable equivalent combination of education and experience may be considered.- Superior organizational and time management skills and the ability to work independently as well as in a team environment required.- Superior administrative skills together with adaptability and the capacity to investigate and apply new methods of administration and organization within the Dean’s office required.- Excellent written and verbal communication skills required.- Advanced skills in current versions of Microsoft suite of programs (Word, Excel, Powerpoint, Outlook Calendar) and Adobe Acrobat required.- Excellent and accurate keyboarding skills required.- Detail oriented and must understand the importance of confidentiality required.- Ability to establish and maintain good working relationships with all levels of staff, students and the public required.- Must have initiative and ability to anticipate and resolve problems and exercise good judgement.- Ability to perform efficiently under pressure and adapt to changing workload and priorities required.- Satisfactory work record, including satisfactory attendance and punctuality, is required.Why the University of ManitobaAlong with being one of Manitoba’s top employers, we are proud to provide a collaborative and enriching work environment.
