WCA is a volunteer non-profit organization that promotes the best interests of cottagers who lease or own land in Manitoba’s Whiteshell Provincial Park.The Association represents the interests of cottagers to government and provides leadership and information to its members and other associations with common interests.The Association advocates for fair and reasonable service and lease fees for cottagers, and encourages good environmental stewardship on the part of cottagers and all other park users.Executive Secretary and Treasury PositionUnder the general direction and guidance of the WCA Executive Board, this contract position of an Executive Secretary and Treasury is a key senior professional managerial position for the organization. The position is responsible for keeping the WCA operating smoothly by undertaking, administrative, finance and certain key managerial functions for the services that the WCA Executive, the lake directors and the various committees require.The Executive Administrator is also responsible for overseeing and managing communications and requests into the WCA and will be the active operational manager for the organization to the public. The person must be able to maintain and visit the WCA office routinely as well as receive and answer emails, phone calls and messages during business hours. The position will require an estimated average of between 16 to 24 hours per week.Duties & Responsibilities: Meeting Facilitation· Booking and set up of venues for evening Executive and Board Meeting – both in person meetings and virtual meetings.· Preparing agendas, taking minutes and recording action items of meetings, distributing material for the meetings, and, for in person meetings, where applicable, printing material for the meetings and purchasing supplies for the meeting (water, coffee, etc.).· Sending appropriate notification of meetings to all Director and Executive members, collecting agenda items to be added, preparing presentations, and taking minutes at AGM, Executive and Board meetings.Administration and Membership· Preparation and submission of Annual Incorporation documents to WCA solicitor ensuring all Directors and officers are current.· Collecting mail generally twice weekly unless in Membership Campaign…then daily (Jan/Feb/Mar).· Handling of all membership applications – cheque, cash, PayPal.· Monitoring PayPal account and transfer to WCA on a timely basis.· Ensuring there are sufficient supplies (e.g. membership cards)· Maintaining lists of all Whiteshell Cottagers (including non members) for membership marketing, communications and Echo newspaper delivery. Reconcile list against records provided by government and the online registrations· Maintaining current files and records with backups of electronic filesFinance· Preparing and making bank deposits, handle invoices, make payments, prepare cheques, prepare monthly bank reconciliations and financial statements, and preparing the annual budget.· Overseeing the financial framework and accounting software for cost accounting and reporting.Website and Communications· Maintaining the WCA website membership portal with assistance from the website developer (Tom Powell Design)· Updating news and association information on the website· With assistance from volunteers, preparing email blasts on key topics and events, updating WCA social media· Managing all correspondence including emails, phone calls and messagesSpecial Events· Sending invites, arrange for exhibitors, collect fees and attend to booth setup at AGM.· Organizing and overseeing the annual Director’s Banquet.· Coordinating other special events such as the ECHO Photo ContestManagement and other· Coordinating activities into and among Lake Directors and committees.· Coordinate membership and marketing campaigns with WCA volunteers· Performing other duties as assignedQualifications· A self-starter with five years experience required in the execution of events, presentations, and meetings. General understanding of project management and budgeting is also a requirement. Experience in bookkeeping and financial statement preparation is required. Experience with QuickBooks would be an asset.· Experience in word processing, Excel, PowerPoint, data base management, and the Internet is required.
