We provide in-house legal services to our Canada Life business partners across Canada. As a Legal Administrative Coordinator within the Law Department, you will work as part of a team of legal professionals and be responsible for providing clerical support within the department. The successful candidate will have the ability to complete administrative tasks accurately and efficiently to support the department’s provision of quality legal services.What you will doThird Party Legal Document Handling Duties

  • Triaging third party legal documents into tracking system, reviewing and redirecting these documents received by the companies to the appropriate client departments, identifying urgent and critical documents to ensure priority handling
  • General to advanced internal investigation of the various company systems and contacts to determine the area/individual responsible for handling of the document
  • Drafting and forwarding correspondence or making telephone inquiries to various outside agencies with respect to these legal documents to gather information, request additional documentation and/or provide a final response on behalf of the companies
General Clerical Duties
  • Provide general clerical support including but not limited to:
  • Monitor department general email, fax mailboxes and voicemail, investigating or handling inquiries; escalating as required
  • Mail opening and triage, scanning as required; in-office work will be required
  • Supporting new matter intake process, compiling and creating electronic claim file working copies in Adobe
  • Supporting data and document management requirements using the Legal Division’s eCounsel/Axiom (matter/time management) and M-Files (document management) systems.
  • Management of department supplies
  • Coding and submitting invoices for payment
  • Providing administrative support to lawyers and other team members as required
  • Other general administrative duties as required
What you will bring
  • Strong technical skills with working knowledge of Office 365 and Adobe
  • Well developed verbal and written communication skills
  • Knowledge of legal documents/terminology would be a strong asset
  • Ability to deal with sensitive and confidential information as part of daily duties
  • Good organizational skills and the ability to handle deadlines and fluctuating work volumes
  • Ability to multitask and prioritize work
  • Self-motivated and ability to work independently
  • Demonstrated analytical and problem-solving skills with strong attention to detail
  • Team player with a positive attitude and an interest in collaborating with others
  • Knowledge of any of the following systems would be considered an asset: Mainframe (GWL, LL, CL), GPAS, DCT, Co-Pilot, Siebel, CISS, GRS Solium, Univerys
  • Post-secondary diploma or work experience in a related field is an asset
