Job Description

The Opportunity:Reporting to the Purchasing Manager the MRO Coordinator maintains the inventory management and warehousing long-term strategies based on the consequences of equipment failure and the business’ needs/acceptable risks (i.e. unscheduled downtime versus inventory levels). The person considers these business parameters, the tools available and how best to support The Maintenance department.The MRO Coordinator is an experienced MRO leader with at least 5 years of experience in an inventory, warehousing or purchasing management role applying proven MRO best practices in an industrial environment. A supply management, finance or business diploma is required, while a university degree is preferred. The Coordinator is familiar with using a CMM/EAM system and MS Office tools and with applying Standard Operating Procedures in his/her work. The Coordinator follows company policies, standards and guidelines as they apply to all activities.The Coordinator has good leadership and communication skills, works well in a team environment, is responsible and is open to change. The person is structured, results oriented and quality driven.The MRO Coordinator promotes and maintains a safe working environment through compliance with MLF’s Health and Safety Program. This includes Food Safety and Environmental compliance.Snapshot of a Day-in-the-Life:

  • Propose strategies to resolve shortfalls in Inventory Service Levels and Inventory Levels.
  • Responsible for the MRO performance management reporting, reviewing and resolution process.
  • Accountable for MROs participation in design reviews, commissioning and Cis.
  • Participate in formal weekly meeting with Maintenance, MRO and Operations to review downtime and plan the following weeks maintenance activities.
  • Represent MRO in work relations between Maintenance, Reliability, MRO and Operations, Six Sigma and Engineering.
  • Participate in non-conformance reporting and post-mortem with follow-up action logs for Maintenance, Operations and MRO.
  • Align the Materials Management strategy to support planned maintenance operations.
  • Regularly review Materials/Inventory Management guidelines with key stakeholders.
  • Continuously improve the Materials/Inventory Management strategy based on Maintenance and Operational results and data.
  • Conduct internal MRO alignment surveys.
  • Include reliability methodologies in the Materials/Inventory Management strategy.
  • Participate in regular Material/Inventory Management strategy planning sessions.
  • Maintain vendor information attached to the material part numbers (I.e. Lead time, vendor part #, etc...).
  • Conduct materials requests and approval routing electronically.
  • Measure stock request to stock approval time.
  • Spare parts disposal follows a formal process and utilizes a decision matrix.
  • Min/max levels are set based on usage rate, usage patterns, delivery times, targeted service levels, equipment criticality and required safety stock levels.
  • Use online catalogues, where possible, for direct purchases.
  • Review past order history for spend analysis.
  • Measure and track the % of rush orders.
  • Measure and track the % of direct buy vs buy to stock as a % of total SKUs purchased.
  • Measure and track vendor planned delivery to actual delivery.
  • Periodically review system for non-treated parts/materials requests and inform Requestor.
  • Process parts/materials request to meet time requirement.
  • Send reminder to Supplier for late deliveries.
  • If delivery date is changed, update in SAP and inform Requestor.
  • Verify that parts/materials received conform to the PO and are in good condition. Inform Purchasing if the quantity of parts/materials does not correspond to the PO or are damaged.
  • Conduct inventory cycle counts including physical counts. Achieve and maintain a 95% inventory accuracy.
  • Identify new, used, broken and refurbished spare parts in the warehouse and track in SAP.
  • Maintain the plant split valuation process.
  • Track materials warranties in SAP for major/expensive parts.
  • Use a spares ABC classification in SAP for all inventoried parts.
  • Maintain a materials non-conformance program including tracking, handling and storage of these.
  • Maintain a slow moving and obsolete parts program applying company rules to categorize these.
  • Maintain the shared warehouse location system.
  • Maintain a documented care and preservation strategy for spare parts in the warehouse.
  • Oversee the documented parts receiving and issuing processes.
  • Maintain the barcode / RFID receiving / issuing system.
  • Maintain the kitting and staging process for planned and scheduled WOs.
  • Regularly review kits with the Planner or End User.
  • Ensure all kits are access secure and kits with safety risks are labeled with safety warnings.
  • Participate in the Maintenance departments continuous improvement and knowledge collection efforts
  • Support the MRO departments participation in the formal and standardized intra-company knowledge sharing process.
  • Generate and distribute a weekly MRO performance progress report following MLFs standard format.
  • Use visual management techniques to publish key MRO performance indicator results.
