Job Description

Office AssistantTerm, Full-TimeCanada Summer JobsPosting #JN-CSJ-065-22 aThe Training Office Assistant provides a variety of administrative support to the Organizational Development and Learning team and works closely with the Training Coordinator II and Assistant Coordinator. They will provide administrative assistance and support with digitizing training records and files, data entry of training information in Payworks, as well as assist with the set up of existing curriculum into online platforms designed to engage adult learners. aResponsibilities Include (but are not limited to):

  • Assists with organizing and setting up digital files within the training function as assigned.
  • Copies, scans, and saves hard copy documents and files into digital formats.
  • Performs data entry of training records into Payworks as assigned.
  • Prepares Microsoft Office documents and performs a variety of administrative tasks as assigned.
  • Assists with uploading existing New Directions training curriculum onto online training platforms designed to engage adult learners.
  • Assists with updating the new employee orientation training into a digital format (that is typically delivered in person and has established curriculum).
  • Assist with the creation of training course schedules and training timetables for the new online platform.
  • Creates newsletters and promotional materials to market available training programs and courses.
  • Assists with the roll-out of new online training platform as assigned
Qualifications & Requirements:
  • Must be a student/youth between the ages of 15 to 30
  • Legally entitled to work in Canada, International students are not eligible
  • Ability to commit to 35 hours per week for 8 weeks
  • Completed or in progress – post-Secondary diploma or certification in Training & Development or Business Administration OR related job experience in administration or training (entry level).
  • Intermediate to advanced level technical and computer skills – MS Office Suite (Excel, SharePoint, Visio, Word, Outlook, Office 365 Apps) and/or online training platforms or software.
  • Strong written communication skills – possesses excellent writing and grammar skills, including the ability to convey ideas concisely, clearly, and logically
