Qualifications:Essential:
  • Experience performing senior administrative/office management duties including handling human resource issues, making travel arrangements, ordering office supplies, maintaining filing systems, and the development and maintenance of administrative policies, procedures, documents and systems to meet operational office requirements.
  • Experience in financial administration, including accounts payable, budgets and cash flows
  • Proven problem-solving skills with the ability to exercise sound judgment
  • Ability to work and make decisions independently
  • Excellent interpersonal skills with the ability to interact effectively with staff at all levels of government
  • Ability to manage highly confidential and politically sensitive material in a professional manner
  • Excellent verbal communication skills to clearly and professionally communicate, in person and by phone, with internal and external stakeholders
  • Excellent written communication skills with attention to detail and accuracy
  • Excellent organizational skills with the ability to work under pressure and meet workload demands and deadlines
  • Proficiency using MS Office, specifically Excel, Word, Outlook and the Internet
Desired:
  • Experience using SAP (procurement and timekeeping) or equivalent software
  • Experience working with Government procedures and practices
  • Strong working experience within virtual office environments which includes operating of video conferencing, teleconferencing, audio/visual equipment and social media
Duties:This position is responsible for the day to day management of the office. Responsibilities include financial monitoring, budgeting, and procurement, making travel arrangements, maintaining the internal security system and liaising with building management. Other duties include, but not limited to, establishing office routines, schedules and processes as well as ensuring an appropriate level of administrative support for all programs under the umbrella of the IIU and such other duties as required. The incumbent may act as a point of contact for inquiries with the public, stakeholders and media regarding the Unit.
