The opportunity:Reporting to the Manager, Private Counsel Operations, the Operations Lead - Service & Support, is responsible for quickly and efficiently handling queries, escalations and problem resolution for the advisory teams, internal departments, and any external service partners. The Operations Lead- Service & Support will provide on the spot coaching and mentoring to other Partner Supports within the WAPC team.As the Lead, this role will also be responsible for identifying priorities and training opportunities for continuous process improvement. The incumbent will also be responsible for project work and update management.Key responsibilities include:
  • Acting as the main escalation point for requests requiring elevated priority.
  • Reviewing bulletins and external communications and summarizing to corporate and advisory teams.
  • Researching and providing clear and accurate solutions to issues raised by advisory teams, internal departments, and external service partners.
  • Acting as an intermediary between Wellington-Altus Private Counsel and our custodian back offices.
  • Providing effective communication to our internal and external partners.
  • Collaborating with internal operations departments to review process inefficiencies and continuously look for methods to reduce turnaround times.
  • Providing support to other team members as required.
  • Providing on-the-spot training and best practices coaching to new team members and Partner Support team members.
  • Identifying training opportunities or potential gaps in procedures for development.
  • Coordinating, preparing, and distributing client communications such as quarterly statements.
  • Coordinating project management activities within Operations - includes reviewing current projects, following-up and providing updates as required.
  • Reviewing and actioning custodial reporting.
  • Preparing and distributing reports to Manager, WAPC and President, WAPC as required.
  • Performing other duties as assigned.
The ideal candidate will possess:
  • A bachelor’s degree or diploma in business administration or similar field of study is preferred, but equivalent combination of education or experience will be considered.
  • A minimum 3-5 years of industry experience, preferably in an administrative or operational capacity.
  • Prior Investment Support and Private Counsel experience would be considered assets.
  • Successful completion of the Canadian Securities Course (CSC) is an asset.
  • Exceptional organizational skills, with the ability to communicate difficult or complex information clearly.
  • A high level of proficiency in Microsoft Office tools, notably Excel; experience with financial tools is an asset.
  • An ability to deal with numerous activities with varying degrees of priority.
  • A reliable, consistent work ethic.
  • The ability to quickly adapt to changing needs those you provide support to.
  • An excellent attitude and commitment to providing extraordinary service.
