The opportunity:Reporting to the Manager, Private Counsel Operations, the Reconciliation & Operations Analyst will coordinate with our internal departments as well as external partners, including our Custodians to manage the ongoing reconciliation of transactions and records. The incumbent will be accountable for conducting procedure workflow gap analyses and determining best course of action, or engaging the appropriate parties for bridging the gap.Additionally, the Reconciliation & Operations Analyst will generate internal reporting and will also be involved in supporting the department with ongoing project work.Key responsibilities include:
  • Conducting daily, monthly and quarterly reconciliation of data submitted against book of record.
  • Reviewing and performing calculations and analysis on data outputs from platforms.
  • Spot checking transactions, holdings and performance.
  • Comparing lists of active holdings against Compliance driven lists & requirements.
  • Verifying the integrity of the data in portfolio management systems (Ndex) from source documents.
  • Reconciliation of trade reports, new money reports and custodian fees.
  • Reviewing and updating existing procedures to reflect existing activities on a regular basis.
  • Reviewing and updating platform information based on data collected and reconciling information received to check for accuracy.
  • Coordinating with departments on regulatory updates & implementation.
  • Tasking from Management to support projects to further the department and coordinating efforts with team members accordingly.
    • Hosting regular meetings to confirm direction and allow collaborative efforts.
    • Meeting with supervisors on a regular basis to align priorities.
    • Meeting with internal and external stakeholders to move projects forward.
  • Performing other duties as assigned.
The ideal candidate will possess:
  • A bachelor’s degree or diploma in business administration or similar field of study is preferred, but equivalent combination of education experience will be considered.
  • A minimum 1-2 years of industry experience, preferably in an administrative or operational capacity.
  • Investment Support and Private Counsel experience would be considered an asset.
  • Successful completion of the Canadian Securities Course (CSC) would be considered an asset.
  • Strong attention to detail.
  • Exceptional organizational skills with ability to communicate difficult or complex information clearly.
  • A high level of proficiency in Microsoft Office tools, notably Excel.
  • Experience with financial platforms is an asset.
  • An ability to manage numerous activities with varying degrees of priority.
  • A reliable and consistent work ethic.
  • The ability to quickly adapt to changes.
  • An excellent attitude and commitment to providing extraordinary service.
