Every day we apply our expertise, creativity, and passion to propel communities into the future—join us!Your OpportunityWe are looking for a Project Coordinator and Administrator to fulfill the role of Coordinator & Administrator for Projects, Pursuits, and other Practice related initiatives. Working closely under the Practice Leadership, Project Principals and Leadership you will support and coordinate the administration of projects of varying levels of complexity and scale with broad integrated design teams working through all phases of a project from pursuit through post construction services, while also working closely under the Practice Leadership, you will support and coordinate the administration of a wide range of practice related initiatives, endeavors, and pursuits.Your Key Responsibilities

  • Assist Project Principals and Managers, to ensure internal Project Management Frameworks are applied including Quality & Risk Management of Proposals, Formal Agreements w/ clients and subs completed, Project Plans prepared, communicated, and monitored, Project Records maintained, Project Team Health and Safety Protocols enacted, Project Financial Management, Quality & Independent Reviews Completed, and Projects are Closed Out.
  • Assist with project pursuits, updating project pipeline, setting up project numbers, project files, preparing and assembling proposals, and legal review.
  • Assist with preparing marketing materials including proposals, photography, awards, etc
  • Actively participate and support building and inspiring strong, efficient, effective, and driven interdisciplinary teams
  • Assist Project Principals and Managers, prepare Internal Work Orders, obtain signatures, and File.
  • Prepare Project Set-up forms for initiation into Oracle.
  • Setup Teams and SharePoint sites for Project Teams and Clients
  • Assist Project Principals and Managers, prepare and communicate work plans and project deliverables, monitor progress, and update project schedules.
  • Assist Project Principals and Managers, set up client and/or team meetings and stakeholder engagement workshops including user group meetings
  • Assist Project Principals, Managers, and teams, obtain project data and documentation, reports, programming, and other information
  • Assist Project Principals and Managers, manage Project Records including project filing, preparing and issuing meeting minutes
  • Assist Project Principals, Managers, and teams, preparing and assembling Project/Design Reports including graphic communication, writing, and coordination
  • Assist Project Principals, Managers, and teams, preparing and assembling Projects Outline Specifications and Project Manuals
  • Assist Project Principals and Managers, monitor and manage project financials including project fee, hours spent, estimates to complete, work in progress, accounts receivable, and staff resources together with the project deliverables and schedules relative to the project scope of services, identifying services outside of scope and assisting w/ the preparation of Change Orders for Additional Services.
  • Process sub-consultant invoices, handle enquiries/discrepancies, and coordinate with financial team staff to ensure payment.
  • Assist Project Principals and Managers, ensure Peer and Independent QA/QC Reviews are scheduled, completed, and documented.
  • Assist Project Principals and Managers, w/ bidder prequalification, calling for bids, and pre-bid meetings
  • Assist Project Principals, Managers, and teams, respond to bidding inquiries and the preparation of Addenda
  • Assist Project Principals, Managers, and teams, w/ bid evaluations, negotiations, and preparation of owner-contractor contracts.
  • Assist Project Principals, Managers, and teams, w/ Office Contract Administration including meetings, Field Observations and Reports, preparation of Supplemental Instructions, Contemplated Change Notices, Change Orders, and Change Directives, tracking, distributing, following up, and issuing correspondence to clients, contractors, Authorities Having Jurisdiction, etc
  • Assist Practice Leadership, Project Principals and Managers, implement and manage Practice and Project Team Health & Safety protocols.
  • Assist Project Principals, Managers, and teams, in completing project close out documentation, archiving, and project lessons learned.
  • Plan ISO audits of selected projects, direct audit team, and generate reports for submission to corporate QA team
  • Assist Project Principals, and/or Architects, booking travel/accommodations through FCM/or direct charters and supporting team travel needs as required
  • Assist Project Principals, and/or Architects, purge outdated samples, documents, and general office clean-up
  • Assist Project Principals, and/or Architects, coordinate printing, couriers, and project submissions
  • Support onboarding of new staff, tours, business cards, parking passes, etc.
  • Coordination of staff IT, software, or desktop purchases
  • Coordination of client meetings for covid protocols
  • Trouble shooting time sheets/oracle input
  • Coordination of Stantec swag
  • Monitoring of Merx Opportunities/postings in collaboration with marketing
  • Support, coordinate, and track staff Security Clearances

  • An interest in construction procurement models, contracts, and delivery.
  • An interest in understanding the relationship between drawings and specifications.
  • Requires understanding of Microsoft Office including MS Project.
  • Ability to work in Adobe Creative Suite considered an asset.
