Job Description

*Administrative Assistant**Reports To* The Administrative Assistant will report to the General Manager. *Job Overview* The Administrative Assistant is responsible for fielding interactions with customers. Their duties include but are not limited to answering and redirecting calls, scheduling basic service appointments and providing support to other employees in the office. *Responsibilities and Duties* * Answer and direct calls to the appropriate people. This includes checking messages and directing messages to the correct person. * Schedule basic maintenance appointments including Krown and emergency appointments. Any larger jobs or transmission rebuild/replacement jobs must be passed to the General Manager. * Check in customers for appointments. This includes: * Greeting customers when they arrive * If the appointment is for a specific complaint, gather as much information as possible and document * Start a work order for the appointment and add labour lines * Confirm contact information including the customers address * Communicate any additional work, special requests and deadlines to the General Manager * If moving a customers vehicle make sure there is a floor mat placed into the vehicle * Deliver and pick up customers. * Ensure front lot is clear for access to the bays and so customers have a place to park. Front lot needs to be organized so next jobs that are going into the shop are up front and customer pick ups must be on the front lot prior to pick up. * Ensure back lot is organized with the vehicles that are going to be worked on first at the front of the lot. * Monitor and organize incoming parts. This includes: * Matching up parts to the invoice when they arrive * Organize parts for jobs on the parts shelf * If a part arrives for a job on the hoist let the technician know it has arrived or take the part to the technician * Let the General Manager know when parts arrive that we are waiting for to complete a job * Input parts onto work orders unless otherwise instructed * Organize, put away and input stock into the inventory in the Mitchell system. * Organize and monitor parts returns. This includes: * Keep parts organized by supplier * Keep parts organized by new/warranty/core * Ensure returns are picked up in a timely manner * Keep track of returns and make sure that we are getting credit for them * Ensure all vehicles that are parked in a restricted parking zone are moved in a timely manner. * Ensure front office is clean and ready for customers. This includes: * Mats vacuumed * Floor clean * Chairs clean * All surfaces wiped down and tidy * Pens, calendars, business cards, products, etc are stocked * Windows clean * Open sign on and TV on slide show * Ensure staff lunchroom is clean and tidy. * Ensure bathroom is clean and tidy even if this means it has to be done multiple times a week. * Ensure vehicles are ready for pick up. Floors clean, greasy finger prints removed and floor mat removed. * Assist customers at the end of a job. This may include: * Calling customer to let them know the vehicle is ready for pick up * Organizing pick up * Taking payment and printing invoice * Check both front and back lots to make sure vehicles are locked and secure. * Make sure front and back lots are tidy. Clean up garbage, get rid of weeds around building, make sure front door is accessible (remove any snow or water build up), sweep front lot in summer. * Direct Deposits must be taken care of in a timely manner. * All Krown applications must be entered into Jkrown at least once a month. * Make sure all garbage bins are emptied everyday. * Other Duties as required. *Qualifications* * Good organization. * Good communication. * Minimal experience in the industry. Some experience an asset. * Willing to learn. * Must hold a valid driver’s licence * Good customer service skills * Ability to follow instructions * Ability to work with a teamJob Type: Full-timeSalary: $15.00-$17.00 per hourBenefits:
