  • Performs confidential secretary duties to applicable Directors including organizes and maintains appointments/calendars, receives all incoming correspondence and inquires, and screens and handles all matters not requiring the personal attention of the Director, uses a high level of judgment, responsibility and independence of action.
  • Types a wide variety of confidential correspondence and reports.
  • Provides daily administrative and financial support to applicable research program.
  • Maintains an administrative and financial filing system.
  • Assists with travel requests; processes all related documentation, makes travel arrangements and financial claims via Concur or as per departmental process.
  • Coordinates all meetings and events; including speaker schedules, room bookings/virtual appointments, audio-visual equipment, refreshments, guest travel and honorariums; distributes materials, records/distributes minutes and follows up on business arising.
  • Orders and maintains office supplies and equipment via EPIC and/or SAP, as per procurement policies and processes.
  • Administers budgets and grant related activities as required or as assigned by the PI/manager.
  • Responsible for fund/account reconciliation, general accounting functions, financial reporting and budget forecasts for grants and/or awards, in consultation with the PIs and/or manager.
  • Prepares regular financial reports to the PIs and/or manager detailing YTD expenditures, commitments, balances and end dates.
  • Assists PIs with preparing and submitting funding applications and regulatory documents.
  • Assists with the set-up and closure of research funds in accordance with University/hospital and funding agency policies and procedures.
  • Limited signing authority for research grants for small material or regular purchases, as approved/delegated by the manager. Alternatively, provides documentation from the PI to justify expenditure.
  • Maintains fund financial authority and access, as per UM financial policy.
  • Completes journal entries and/or inter-departmental charges as per UM policy and process.
  • Initiates and processes requisitions/purchase orders and service contracts/agreements according to Aurora Finance policy/procedure.
  • Maintains external invoicing for services provided, liaises with the team and collaborators.
  • Assists with research support staff job descriptions, postings, coordinates interviews, generates letters of offer, start-up paperwork, onboarding and access.
  • Tracks employment documentation for support staff.
  • Completes required forms for appointments/changes/extensions for staff and students.
  • Completes and tracks secondment agreements between facilities.
  • Submits payroll reports in VIP, ensuring adherence to various institutional and departmental policies and procedures.
  • Provides ad hoc HR reports; sick/overtime/vacation banks, as requested by the PI/manager.
  • Performs other projects as assigned by the PI.
The qualifications and experience we’re looking for:
  • Completion of a formal training program in a related discipline from a recognized institute is required.
  • Four years of directly-related experience is required.
  • Related knowledge and experience in accounting practices and theory is preferred.
  • Experience working in a computerized accounting environment is preferred.
  • Experience in budgeting and financial reporting is required.
  • Strong knowledge and work experience with Concur, EPIC, UM Careers, VIP, Banner and FAST is preferred.
  • Must have experience and knowledge of UM and HSC policies and procedures, as well as financial and HR systems (EPIC, Concur, Banner, VIP, SAP).
  • An acceptable equivalent combination of education and experience may be considered.
