Job Description

Sample Management Office AssistantLocation: Pinawa, ManitobaSchedule: Four (4) - 10 hour days - Monday to ThursdayJob SummaryThe purpose of this position is to provide support to the Sample Management Office in the Whiteshell (WL) Environmental Management and the Waste Management Branch. This position is essential to ensure that preparation for sampling campaigns conducted in support of WL site operations, WL environmental monitoring, WL Waste Management, and WL decommissioning activities is conducted in a timely and efficient manner and that samples collected are dispositioned to internal and external analytical laboratories in accordance with established WL Sample Management Office and Canadian Nuclear Laboratories (CNL) procedures. This position will also increase capability redundancy to provide support in conducting tasks related to the environmental protection program and waste program, as required.Canadian Nuclear Laboratories (CNL) employees perform all duties in accordance with established health and safety and regulations/guidelines, policies and procedures (i.e. utilizing personal protective equipment as per safe work procedures). Notifies management or supervisor of all occurrences, injuries, illnesses or safety and health concerns which are likely to harm themselves, their co-workers or any other on the premises in a timely manner and in accordance with established reporting requirements.QualificationsEducation

  • Secondary school graduation diploma or equivalent from an institution of recognized standing.
Experience
  • The ideal Sample Management Office (SMO) candidate will have excellent customer service skills, tech-savvy (many various laboratory reports that need to be uploaded/downloaded/formatted), and continue to upgrade their skills to improve SMO productivity and efficiency.
  • A minimum of three (3) years of relevant experience or the equivalent in experience, additional education and/or training.
  • Working knowledge of software such as Excel, Word, and Access.
  • Environment sample management experience and/or knowledge of Quality Assurance/Quality Control (QA/QC) principles and applications considered an asset.
  • Experience in Environmental Analytical Analysis in laboratory setting.
  • Previous experience in Sampling preparation, Chain-of-Custody preparation, sample testing and preservatives.
  • Previous experience in reviewing laboratory Analytical Data Quality Assessment.
  • Knowledge of Hazardous Waste Operations, Hazardous Waste Training or equivalent from an institution of recognized standing.
  • Experience in data entry, specifically laboratory analytical data entry.
Abilities and SkillsThe incumbent should have:
  • The ability to type at minimum 60 wpm;
  • Manage office/laboratory inventory;
  • Gather and organize sample kits, coolers, shipping;
  • Remain focused and organized in a fast-paced environment;
  • Ability to lift and carry packages of 10-20 kgs;
  • Ability to work in an office, laboratory, or field environment;
  • Maintains calm under pressure;
  • Planning, organizational, and prioritization skills;
  • Excellent in computer skills specifically Word and Excel, and communication skills (verbally and written via email) to interact effectively with colleagues, customers and management;

  • Ability to multi-task witand excellent in time management and communication skills;
  • Well-organized; enjoys working with a team in an operational and decommissioning setting;

  • Basic knowledge of radiation protection.
Functions and Responsibilities Functions and responsibilities include but are not limited to the following:
  • Participate in all required workplace training, Inspections and Audits;
  • Undertake cross-training to provide support to Whiteshell Environmental Protection Program and waste program, as required and instructed by management;
  • Daily interaction with the Sample Management Office Program Manager, Sample Management Office Senior Officer, or Analysts, Environmental Specialists, Waste Specialists, Health Physicists, Site Operations, customers, subcontrator and contract laboratories to coordinate services and verify information;
  • Maintain assigned equipment/instruments carefully and optimize the use of supplies, as well as actively seek reduction/avoidance of unnecessary costs;
  • Exercise sound judgement in dealing with issues requiring confidentiality;
  • Diagnose and correct minor problems with sample receipt and packing for shipment
  • Manage the offsite laboratories analyses, reports and input it into the internal data management system (ATOM);
  • Ability to select and apply appropriate procedures to satisfy the needs of customers, and to seek advice when there is doubt;
  • Ability to review submitted documentation for accuracy and compliance is required;
  • Sound decision-making is critical.
  • Employ a rigorous approach to safety through excellent housekeeping and adherence to all applicable CNL safety-related policies and procedures;
  • Maintain inventory of materials/supplies/equipment required to support sampling campaigns;
  • Receive and inspect materials/supplies/equipment to ensure they meet applicable quality standards and acceptability for deployment for sampling campaigns;
  • Prepare and maintain sampling packages required for various sampling campaigns;
  • Receive and inspect samples, prepare samples for shipment to assigned laboratory;
  • Ensure samples are properly documented and are subsampled, preserved, and directed to the appropriate laboratory, as required;
  • Maintain an electronic sample log-in system and enter sample data into electronic records;
  • Prepare shipping documents and enlist the assistance of the Whiteshell RAM/TDG shipper, as required;
  • Document Sample Management Office (SMO) work, processes and results in a clear and concise manner and in accordance with applicable procedures/protocols and applicable standards;
  • Prepare and manage SMO electronic and hard-copy records;
  • Perform other duties as assigned.
