Job Description

Position: Dispatch Coordinator Type: Full Time, Salary Location: Acheson, AB Summary: We are looking for an engaged and committed Dispatch Coordinator to join our NexGen Transportation team. NexGen Transportation is a full-service provider of Heavy Haul Transportation and Specialized Rigging based out of Acheson, Alberta with operations throughout Western Canada. We also perform some work in the US.Our NexGen team members are extremely knowledgeable, professional, respected, and excel at the work they do to meet the needs of all our clients. We are very fortunate to have the exceptional team we do!As a Dispatch Coordinator you will be responsible for:

  • Scheduling assignments and coordinating activities for all field personnel to ensure optimal utilization of manpower and equipment.
  • Assisting with the completion of route studies/planning.
  • Monitoring job performance/completion and ensuring adherence to schedule.
  • Obtaining permits and utility approvals.
  • Filing International Fuel Tax Agreement (IFTA) and International Registration Plan (IRP) documents.
  • Assessing and troubleshooting potential problems/risks and recommending solutions.
  • Registering new equipment and ensuring all permits are adequate.
  • Answering dispatch incoming calls, including after-hours requirements (i.e. on-call, emergency recoveries, etc.).
  • Setting up, planning and executing jobs through Microsoft Nav (including customers, equipment and manpower).
  • Creating and managing purchase orders, permits and other operational paperwork.
  • Managing the proper utilization of equipment.
  • Ensuring that all necessary training credentials are completed before dispatching personnel.
  • Reviewing and approving time sheets.
  • Assisting with the creation of quotes.
  • Assisting with billing and invoicing questions from accounts receivables.
  • Coordinating travel requirements for field personnel .
  • Acting as a liaison between field personnel and customers.
  • Building relationships with both field personnel and customers.
  • Assisting with other administrative duties as required.
Knowledge, Skills and Abilities:
  • Must be able to organize and plan tasks, with an ability to adapt to changing priorities.
  • Strong interpersonal skills, and an ability to participate positively in an engaging culture.
  • Must be dependable and committed to ensuring client (internal and external) needs are met.
  • Effective attention to detail and a high degree of accuracy in entries and other paperwork.
  • Ability to work in a fast-paced environment.
Asset Qualifications:
  • Experience working within Heavy Haul and/or Specialized Rigging Industries
  • Post-secondary education with a specialization in business administration or project management.
Working Conditions:
  • Overtime and travel may be required.
