Job Description

Position Scope:Reporting to the Fleet Manager, the Fleet Management Administrator provides service and administrative support for the Fleet Management department.This position is located in NACGs Head Office in Acheson, AB (inbetween Edmonton and Spruce Grove).Responsibilities:Fleet Contract Administration and File Management

  • Rental Equipment contract and related documentation file management.
  • Set-up of rental equipment, including contract processing, purchase Order set-up, asset set-up, ensure all required documentation is delivered to the vendor in a timely manner, including signed contracts, purchase orders, copies of insurance and certifications, as applicable.
  • Create and maintain equipment master records.
  • Creation of several weekly fleet reports.
Fleet Billings Administration
  • Create purchase order requisitions.
  • Facilitate processing and receiving of 3rd party invoices.
  • Purchase order coordination.
  • Billing and hour tracking of NACG equipment on rent.
Vehicle Registration, Licensing and Permits
  • Obtain registrations and required permits for the light vehicle fleet.
  • Ensure all registrations, certifications, insurance documents etc. are uploaded onto the department SharePoint site. Keeping this database current as vehicles are added and removed from the fleet.
Other Duties as required
  • Field requests from vendors and sites regarding equipment requests, contract inquiries, purchase order inquiries, certifications, insurance etc.
  • Other administrative, coordination of duties and reporting, as requested.
Qualifications:Work Experience:
  • Administrative support for a minimum of three years.
  • Demonstrated organizational, administrative and time management background.
Education:
  • High school diploma.
  • Related Office or Business Administration Diploma.
  • Greater experience in office administration at a senior or executive assistant level, as an equivalency to an office or business administration diploma will be considered.
Knowledge, Skills, and Abilities Requirements:
  • Must be competent in MS office (Word, Excel, Outlook and PowerPoint).
  • Must have strong interpersonal communication skills.
  • Must have a positive attitude and problem-solving abilities.
  • Knowledge of heavy equipment, light vehicles, and support equipment beneficial.
  • Knowledge of JD Edwards and Scanman software an asset.
  • Good organizational and multi-tasking skills.
  • Good communication skills required in both the written and spoken English language.
  • Good understanding of accounting rules and standards.
  • Able to work in a busy environment.
  • Ability to make sound decisions and function with limited supervision.
  • Must be self-motivated.
