Job Description

Locations: AER Field Operations East, Bonnyville, AB and Cold Lake, ABEmployment Type: Full Time-PermanentField SupportThe OpportunityJoin the Alberta Energy Regulator (AER) as a Field Support Team member of the Field Operations East (FOE) area office within the Compliance & Liability Management branch. As a highly valued team member, you will play the essential role of providing support to the Operations Area and staff on records management, liaise with stakeholders on low-risk industry management, supporting provincial teams, provide guidance to junior staff and inspectors on administrative best practices and additional customer service and office support as required. A primary function is to ensure AER processes for records management and retention, data integrity, finance, and stakeholder engagement are met.Your Key Responsibilities:

  • Conduct data integrity support related to files and records (Orders, Incidents) in alignment with AER procedures, working with inspection staff to ensure records are both accurate and complete, assisting with data entry and training as required.
  • Effectively triage and manage Field Operations correspondence in its various forms both internally and externally; email, mail, phone, fax, and walk-in, maintaining confidentiality with sensitive information. Enter, complete and close lower risk release, complaint, contravention, and self disclosure files. Review and assess industry notifications for dissemination to compliance staff.
  • Prepare, edit, and format letters, correspondence, and emails in accordance with AER guides and templates; good working knowledge in Word, Excel, and PowerPoint required.
  • Fulfill general office duties such as, but not limited to, handling invoices, distribution of mail, coordination of service providers, ordering of supplies, following procedures if/as outlined.
  • Create meeting agendas and take minutes. Collaborate for and execute planning and support of stakeholder engagements such as open houses, synergy groups, ERP exercises, operator awareness sessions, and meetings when required.
  • Manage the tracking of the field operations staff training and ticket expiration, conduct administration of the working alone program, participate in some in-field support as needed, order and manage safety supplies, managing the administration of building services for their field location.
Qualifications:
  • Diploma in Business Administration or a related field is preferred.
  • 6+ years of related administrative experience with excellent proficiency and professionalism.
  • Attention to detail and accuracy, able to recognize and correct errors.
  • Strong organizational skills with ability to multitask and prioritize competing duties.
  • Proficient with MS Office Teams, Word, Excel, PowerPoint, and Outlook.
  • Ability to work independently as well collaboratively in a team environment.
  • Knowledge of the AER and oil & gas industry.
  • Strong communication skills, both verbal and written; capable of handling confidential, sensitive, and personal information.
Additional Requirements and Information:
  • All applicants must be legally entitled to work in Canada at the time of application.
  • Possess a fully valid driver’s license along with a positive driving record. The word fully describes the criteria for a class 5 as opposed to a graduated license, and positive driving record as defined in the AER driving policy.
  • Additional training provided: First Aid and ICS 100 (to support incidents response when Emergency Command Centre is stood up).

  • Have a high-speed internet connection with a minimum of 50 Mbps for downloads and 30 Mbps for uploads when working remotely.
