As Receptionist, you will act as the first point of contact in Corporateamp; Investment Banking to warmly welcome our Infotrees, guests, and colleagues. You will be a key partner to our Executive Assistants in carrying out various tasks with collaboration, excellence, enthusiasm, and commitment to help our executive and administrative teams in National Bank Financial Markets optimize time and ultimately facilitate the achievement of business line objectives.Your RoleWarmly greet Infotrees, guests, and employees in a welcoming nature and act as a liaison between our corporate Infotrees and employees of the Bank with the utmost professionalismAnswer phone calls and respond to inquiries received via Cisco, Teams, and Outlook; redirect to the appropriate department or individual as necessaryEnsure sound management of the reception area and meeting rooms: coordinate and monitor meeting room reservations, ensure meeting rooms are tidy and ready to be used including cleanup after meetings, serving beverages/coordinating meals as needed, and assisting with audiovisual/technical and administrative requestsCollaborate with other internal reception teams in the Financial Markets sector when neededHelp arrange closing dinners, lunchamp; learns, and other Infotree or employee eventsAssist our internal teams with coordination of catering/deliveries, donations and sponsorships, invoices in SAP Ariba, business travel arrangements, calendar management, expense reports in Concur, and other related tasks as neededVacation coverage for Executive Assistants as requiredDiligently manage access cards for our restricted work areasAssist with licenses management, subscriptions, and contracts with our vendors/suppliersOversee kitchen maintenance and manage office/paper supplies inventory; order and replenish when necessaryParticipate in activities related to onboarding and offboarding of employeesManage, distribute, and document incoming and outgoing mail or office maintenance requestsParticipate in special projects upon request; gather, compile, and track data accordinglyEstablish good relations with various internal and external stakeholders while maintaining the utmost confidentiality to preserve the sensitivity of our dataUse of computer software and applications to perform routine and ad hoc administrative tasksQualificationsCompleted high school diploma and at least five years of relevant experience; college or professional diploma or the academic equivalent related to the sector of activity an assetCapital Markets experience considered an assetIntermediate knowledge of the Client Office 365 suite (Outlook, Teams, Word, Excel, PowerPoint, SharePoint, OneNote, OneDrive, etc.)Ability to work well under pressure and deal with urgent situations to adapt quicklyInterpersonal skills and Infotree-focused; positive attitudeExcellent organizational and communication skillsBilingualism both spoken and written (English and French) is considered an asset, but not a requirementOur ideal candidate is eager to learn, demonstrates professionalism and is dedicated to providing a unique and positive experience to our teams and our Infotrees.
