Job Description

SUMMARY

  • Pacific Rim is designated by the Private Training Institutions Branch and has been offering individual courses and certificate programs in early childhood development since 1989.
  • An Administrative Support Professional will join our Admin team to provide help to students enrolled in our Early Childhood Education programs.
HOURSThe employee will be available on Monday to Friday to answer phones and emails for approximately 20-35 hours a week. Ideally the hours are tentatively 5 days a week between 4-6 hours per day (Mon. 11-5, Tue. 10-3, Wed. 10-3, Thu. 11-5 Fri. 1-5). Alternative schedules will be considered and there is potential for this position to eventually expand to full-time from 9 am-5 pm with a 1-hour lunch break.LOCATIONThe employee will work from a home office under the supervision of our Quality Assurance Officer, located in Cobble Hill.PRIMARY RESPONSIBILITIES
  • Abide by privacy and confidentiality requirements (PIPA) to ensure student information is protected and not discussed or made accessible to any third parties.
  • Accurately and consistently answer incoming calls in a friendly and professional manner.
  • Respond to questions and requests for information by phone and email.
  • Keep accurate notes in the comments section of students records regarding student conduct, special requests, and related correspondence.
  • Contact students with overdue assignments by phone and email
  • Prepare envelopes with stamps and stickers to send out transcripts and certificates on behalf of students
  • Review admission interviews and when necessary ask students for elaboration if answers are partially completed
  • Additional responsibilities as required.
ADDITIONAL RESPONSIBILITIES
  • Upload documents for former students to the PRECI Admin records
  • Email students who have just completed their program to confirm their mailing addresses
  • Assist with processing mail from students when requested
  • Assist with Payroll when required
  • Help the Quality Assurance Officer develop and keep current, an Administrative Handbook
  • Additional Responsibilities as required.
KNOWLEDGE AND SKILL REQUIREMENTSOne to three years of administrative support or related experience.
  • Related post-secondary training in customer service and administration is strongly preferred.
  • Proficiency in Microsoft Office with expertise in Microsoft Word and Excel and ability to type 50 wpm. This is normally acquired through one to three years of clerical experience.
  • Ability to obtain a clear Criminal Record Check with clearance to work with the vulnerable sector.
  • Critical thinking and problem-solving skills.
  • Basic reading, writing, and arithmetic skills. This is normally acquired through a high school diploma or equivalent.
  • Professional communication skills that will reflect well on the institution in both phone and email conversations.
  • Detail oriented and comfortable transitioning between phones and emails.
  • Superior organization skills and ability to complete projects in a timely manner and accurately respond to student and administrative requests.
