Job Description

Service AdministratorPothier Motors is seeking a full-time Customer Service Administrator to join our team!If you have customer service experience, a dynamic personality, and an excellent worth ethic, then you have what we are looking for, as we can teach you the rest!The Customer Service Administrators main task is to assist and direct each customer. They will be accountable for processing specific warranty claims and repair orders from start to finish. The position is responsible for helping the advisor and manager with the daily administrative task.The position also includes following through on each invoice to complete customer reports and estimates as required.All tasks will be taught on the job; no need to have experience.Your key responsibilities include but are not limited to the following:

  • Welcome clients visiting the Dealership and inquire as to the purpose of their visit.
  • Building a positive connection with our clients.
  • Conduct vehicle walk-around to record any vehicle damage and to check for any areas that may require attention, such as lights, wipers, and tires.
  • Ask the right questions to identify needed services by listening to customers descriptions of symptoms and clarifying problems.
  • Verify warranty and service contract coverage by reviewing records and explaining provisions and exclusions.
  • Scheduling and booking appointments, as well as needed pick up and deliveries.
  • Customer payments and close out of completed work orders.
  • Keep accurate inventory of ordered parts and organize appointments for installation.
  • Supporting the Service Advisors and Service Manager on daily processes as required.
  • Coordinating the loaner program for customers as required.
  • Scheduling repairs with third-party vendors.
  • Submitting payment requests to fleet companies.
  • Completing the digital customer service report system.
  • Ensure each work order is appropriately and accurately documented and signed.
  • Always professionally answer and respond to all customer inquiries via phone and email.
  • Review warranty repair orders for proper documentation completion, accuracy, and legibility according to the applicable policies and procedures manual.
  • Submit warranty claims and digital imaging to the manufacturer promptly.
  • Organize and process transit damage warranty claims with body shops as needed.
  • Prepare and process warranty documentation according to manufacturer guidelines.
  • Ensures all proper contact info of customers with our system and the manufacturer.
  • Any other duties as assigned by the Service Manager.
  • Complete customer service calls as needed.

Requirements and Qualifications
  • A high school diploma or equivalent
  • 2+ years of experience working in a dealership, preferably with service or warranties, is an asset
  • Proficiency in basic computer programs
Schedule:
  • This role will be working onsite Mon-Fri 7:30 am-5:30 pm (except every second Wednesday, which is 7:30-7:30)
Supplemental pay types:
  • Bonus pays.
