Job Description

Customer Service and Warranty AdministratorPothier Motors is seeking a full-time Customer Service Administrator to join our team!If you have customer service experience, a dynamic personality, and an excellent worth ethic, then you have what we are looking for as we can teach you the rest!The Customer Service Administrator Receptionists main task is to assist and direct each customer who comes in or calls Service. The position is responsible for booking appointments, contacting customers to schedule parts, and reminding them of their due services. They handle several administrative tasks and manage warranty invoices, including processing, reviewing claims, and maintaining warranty documents.Your key responsibilities include but are not limited to:

  • Welcome clients visiting the Dealership and inquire as to the purpose of their visit.
  • Building a positive connection with our clients.
  • Book appointments by clarifying descriptions of problems, describing symptoms, and asking the right questions to customers as required.
  • Contact customers for service reminders, rescheduling appointments, and customer satisfaction as needed.
  • Customer payments and close out of completed work orders.
  • Keep accurate inventory of ordered parts and organize appointments for installation.
  • Supporting the Service Advisors and Service Manager on daily processes as required.
  • Coordinating delivery and pick-up schedules for drivers each day.
  • Controlling the calendar for the loaner program, being responsible for rental agreements, and checking vehicles in and out.
  • Maintain your workspace to ensure it is safe and clean, keeping high touch points within your area sanitized.
  • Scheduling repairs with third-party vendors.
  • Ensure each work order is appropriately and accurately documented and signed.
  • Always professionally answer and respond to all customer inquiries via phone and email.
  • Review warranty repair orders for proper documentation completion, accuracy, and legibility according to the applicable policies and procedures manual.
  • Submit warranty claims to the manufacturer promptly.
  • Organize and process transit damage warranty claims with body shops as needed.
  • Prepare and process warranty documentation according to manufacturer guidelines.
  • Ensures all proper contact info of customers with our system and the manufacturer.
  • Any other duties as assigned by the Service Manager.

Requirements and Qualifications
  • A high school diploma or equivalent
  • 2+ years of experience working in a dealership, preferably with service or warranties, is an asset
  • Proficiency in basic computer programs
Schedule:
  • This role will be working onsite Mon-Fri 7:30 am-5:30 pm
  • 10-hour shift
Supplemental pay types:
  • Bonus pay.
