Job Description

The Opportunity:McElhanney is seeking an Administrative Assistant to join our rapidly growing team in Kitimat, BC. As an Administrative Assistant, you are the glue that keeps the team together. Wearing a variety of hats, you will work independently while bringing forward opportunities for improvement within our current processes. You have an approachable demeanor and are comfortable managing competing priorities with ease. In this position, you will provide administrative support to a team of office and field-based staff working across BC.What You’ll Be Doing: :

    • Provide branch reception services including, answering phone, greeting clients, preparing, and receiving shipments for courier and mail
    • Coordinating and organizing travel plans and accommodations for staff
    • Assisting with various safety-related duties, including tracking and scheduling training
    • Coordinate meetings, schedule and manage boardrooms
    • Assist with composing letters, memoranda, and e-mail correspondence as necessary
    • Perform clerical tasks such as filing, photocopying, scanning, archiving, and disposal of branch documents (i.e., general maintenance of digital and general filing systems)
    • Manage inventory of office supplies and coordinate supply orders
    • Maintain office equipment, supplies and building maintenance
    • Assist with fleet management, including coordination of vehicles, servicing/outfitting and seasonal maintenance
    • Assist in project administration
    • Ability to join project meetings and record detailed minutes of the meetings
    • Contribute to a safe, clean, and positive office environment
    • Coordinate internal and external events
    • Establishing and maintaining relationships with suppliers
    • Execute a range of other duties as required
What You’ll Bring:
    • Previous experience in an administrative support role within a professional environment.
    • Previous experience with MS Office 365 (Word, Excel, Outlook, PowerPoint, and Project)
    • Strong skills working with technology and systems
    • Exceptional customer service and communication skills (written and verbal),
    • Knowledge of Microsoft Teams, SharePoint, Adobe Acrobat, an asset.
    • Attention to detail and ability to multi-task in an efficient and organized manner; and
    • Demonstrated workplace professionalism with the ability to handle confidential/sensitive information with discretion.
    • BC Driver’s License, Class 5 or higher, with a driver’s abstract that demonstrates safe driving behavior is preferred but not required.
