Job Description

The CompanyBridgemans Marine Transport (BMT) is a fully integrated marine service provider, equipped with marine certified crew and a fleet of unique assets servicing industrial projects around the world. Bridgemans and First Nation Haisla have created a joint venture limited partnership -Bridgemans Kitamaat Joint Venture Limited Partnership (BKJV) to provide marine and construction services to LNGC and the Kitimat, BC region.BMT is a division of Bridgemans Services Group (BSG), a global provider of workforce floatels and marine services. BSG customizes services to the exact needs and locations of clients, ensuring solutions meet precise specifications, including logistics, crew transfers, housekeeping, catering, and the fulfillment of all HSE requirements.The OpportunityThe Project Administrator is responsible for the day-to-day administration in support of the entire project team. A key component of this position will be document control and overseeing the reporting process with on-site subcontractor management.Key ResponsibilitiesResponsibilities and essential job functions include, but are not limited to, the following:

  • Provide reports as requested by project management team
  • Responsible for overseeing and maintaining all project document control
  • Manage reporting process with on-site subcontractors
  • Manage supply inventory and purchases required to maintain the office
  • Compile, copy, sort, and file records of office activities, business transactions, HSE and other activities
  • Support accounting with collecting receipts and tracking expenses and invoicing
  • Support the team with enquiries and other project administration tasks as assigned
  • Act as primary contact for vendors and suppliers
  • Maintain files and complete periodic reviews to ensure they are current and accurate
  • Arrange travel and accommodation for incoming and outgoing team members
  • Arrange Drug & Alcohol and Physical Assessment testing pre hiring
  • Maintain a safe and healthy work environment through diligent practice of all HSE regulations
  • Participate in daily HSE updates and meetings
  • Ensure orientation and onboarding documents are completed and ensure Manager & Supervisors are aware of any updates
  • Prepare new hire package and greet new team members when they arrive on site, conduct corporate orientation and complete onboarding
  • Review payroll requirements, ensure all new hire paperwork is completed and train on timekeeping system
  • Monitor and adjust timesheets as required prior to approval by Operations Manager and Crew Supervisor
  • Act as an ambassador for the project in all dealings with the public, management, and team members
Qualifications
  • 3 to 5 years administrative experience preferred
  • Health & Safety knowledge is an asset
  • Valid Class 5 driver’s license
  • Able to clear a drug and alcohol test prior to hiring and potential random tests throughout employment with prior notice
  • Exceptional comprehension and command of the English language; (written & verbal)
  • Outstanding organizational and time management skills
  • Excellent working knowledge of Microsoft Office (Excel, Word, etc.)
  • Ability to multi-task and prioritize project support
  • Ability to complete complex administrative tasks with minimal supervision
  • Ability to foster and maintain a positive tone within the team and to work cooperatively through personal behavior, work contribution and sharing of expertise and knowledge
Physical Working Conditions
  • Some repetitive, physical activity involved (Sitting, typing, walking, kneeling, reaching, lifting)
  • Lifting light to medium level weights (up to 20lbs. frequently, 50 lbs. occasionally)
