The role of the Operations Administrator is vital in keeping the department running smoothly. The individual in this position is responsible for ensuring that all activities and responsibilities of the Operations Department are handled in a prompt, courteous, and efficient manner.Job Responsibilities:Phone reception, front desk greeting duties & radio communicationMaintain good inter-departmental relations and communicationAdministration including distribution and development of templates, checklists, charts, weekly reports, and correspondenceEfficiently organize the Operations’ Department paper and digital documents & recordsManage vehicle accident reports, driver’s list and supporting documentation, fuel cards, snowmobile & quad exams, helmet and ski/snowboard compliance, locker Rooms, third party contractor agreements, winter staff vouchers, building permits, purchase orders, payment requests, vehicle passes, etc…Prepare weekly reports, project and data tracking toolsAttend management meetings, take and distribute minutesDispatch in summer, and back up support for Dispatch in winter such as radio communication, accident legal paperwork and patient transport. Work hours will be adjusted according to the requirements of the operating seasonMaintenance of office area, scheduling of a cleaner for the operations Office area and re-stocking office cleaning suppliesOccasionally coordinate tasks for light duty employeesAssist with other operations administrative tasks as requiredOccasionally provide transportation for guests; Skoki Runs, Injured Guests, or Upper Mountain Evacuations (Valid Class 4 License is an asset)Write/Update Policies and Procedures as necessaryManage reports, users, missing alert notifications, train, teach, and troubleshoot our Risk Management Program Edge AuditorProvide Back-up support to other departments throughout winter busy periodsData Entry and administration of the Computerized Maintenance Management Software (CMMS)Assist Project Managers with the preparation of project documentation including, Parks Canada Submissions, project cost tracking, contractor required documentationJob Requirements/Qualifications:Must be computer literate, and have intermediate to strong Microsoft Suite experience, in particular Outlook, Excel and Word to create advanced spreadsheets, and correspondenceA positive attitude, friendly personality, excellent written and verbal communication skillsMust have excellent organizational skills and an ability to meet timelines, and changing prioritiesTo speak clearly over the radio. Radio communications experience is preferredKnowledge of the Lake Louise Ski Area is an assetAble to work both as a team member and independentlyAble to prioritize and work well under pressure with little to no supervisionValid Class 5 AB driver’s license (or international equivalent) with clean driving record (abstract/3-year claims experience letter must be provided during the interview process)Class 4 License preferredFollow all LLSA policies and proceduresAdhere to LLSA grooming policy at all timesWork Schedule:7:00am - 5:30pm4 On/3 OffQuick Apply
