Job Description

Role Overview: Reporting to the Director of Projects, the successful candidate will be responsible for assisting in the delivery of the Lynn Lake Gold Project. This project is currently in the Engineering Phase of Development, with construction expected to commence in Q3 of 2022. The administrative assistant will help with project control functions; including management of invoices and project registers as well as coordinate travel and accommodations for project team members and assist with the reporting and permit applications.Primary Responsibilities:

  • Receive all project invoices, complete initial checks, and coding, and manage workflow for approvals through submission to accounts payable for payment.
  • Maintain project registers for all project invoices.
  • Maintain project contacts list.
  • Input requisitions for project expenditures.
  • Track project commitments to ensure close out of open commitments.
  • Assist with project and safety reporting and permit applications.
  • Manage invoices
  • Create a group calendar for tracking of Team vacation and work onsite/offsite.
  • Create a visitor calendar for tracking of 3rd party visits to site.
  • Create, maintain, and update record-keeping and tracking spreadsheets as required.
  • Coordinate Team meetings and site activities.
  • Other duties as required.
Skills, Knowledge, Qualifications and Experience:
  • Diploma in Business Administration.
  • 5 years administrative work experience.
  • Strong clerical, administrative and general office skills including attention to detail and rigor.
  • Mining or heavy industrial construction experience considered an asset.
  • Proficient use of Microsoft applications (mandatory).
  • Excellent planning, leadership, organization and communication skills.
  • Ability to communicate and interact within all levels of the organization.
  • Ability and willingness to work different schedule on site based on project needs
