You will play an integral part in ensuring efficient and effective day-to-day administration and support with proposals and projects for a variety of assignments. As the face and voice of Stantec, the successful candidate must have demonstrated experience in a similar role, have a high degree of professionalism and corporate communication skills, be professionally presented, have superior organizational skills with the ability to focus on multiple tasks and changing priorities and have a mature approach and confidence in dealing with a wide range of clients (both internal and external) and business partners.Your Key Responsibilities

  • Interface in a professional and positive manner while greeting clients and vendors both in person and over the phone including managing the visitor registration process.
  • Supporting the preparation and processing of correspondence, reports, forms, and proposals by completing tasks such as formatting; applying company templates and customizing if needed; and compiling submittal packages.
  • Maintaining digital project archiving and records management.
  • Create and update personnel resumes and project profiles on the internal company sites.
  • General office duties including but not limited to photocopying / binding; maintaining office supply and health and safety equipment inventories; and assisting staff in procuring equipment and supplies.
  • Coordinating agendas, meetings, travel arrangements, and special events.
  • Assisting staff with weekly timecard administration.
  • Assisting with onboarding any new hires and employee transfers.
  • Supporting conformance with company policies and procedures.
  • Other administrative tasks as assigned.
QualificationsYour Capabilities and Credentials
  • As the successful candidate, you will possess a strong work ethic and excellent organizational skills and can meet tight deadlines with a commitment for excellence in your field. You will also possess the following qualifications:
  • Great proficiency within the Windows environment, including Office 365 and Adobe Pro.
  • The ability to work well under pressure in a deadline-driven environment by taking initiative, demonstrating organizational and detail-oriented skills, and prioritizing multiple responsibilities.
  • Strong written and oral communication skills.
  • Keen attention to detail with experience in proofreading, editing, and formatting documents.
  • The ability to lift 15-25lbs (office supplies, cases of paper)
  • Ability to work proactively in both independent and team environments.
  • Experience with health and safety is considered an asset.
Education and Experience
  • The ideal candidate will have 3 years of professional experience operating in an administrative office support/receptionist capacity with demonstrated skill to support a business effectively.
  • Graduation from a recognized office administration program or equivalent experience.
