Job Description

We will not respond.Job DescriptionAurora Marine Industries Inc, a well-established manufacturing company that invents and manufacturers specialty products for pleasure boats, automobiles, off road vehicles, theme parks, etc., located in the Mississauga/Brampton area seeks an Administrative Assistant / Secretary.The successful candidate will be working directly with the President to assist with day to day operations. Preference will be given to someone with a manufacturing background and Quick Books. The Secretary, Administrative Assistant will be responsible for:

  • Managing all administrative tasks, office operations and related services including record management, resource management, generate reports and projections (utilizing QuickBooks Accounting software)
  • Help with recruiting, hiring, motivating and training new staff as required
  • Assist the President with necessary administrative activities, i.e., letters, memos, meetings coordination, expense reports etc.
  • Provide staff support, and participate in writing correspondence, proposals, contracts and reports
  • Prepare meeting notices, agendas, minutes and arrange venue; assist in follow-up to meetings
  • Research relevant subjects on the internet for the President
  • Phone suppliers for info on raw goods and follow up with quotes etc.
  • Follow up on product orders until complete
  • Assist with preparation of monthly reports and budgets
  • Able to work independently and part of a team
  • Prepare customs documents, bill of ladings, etc.
Skills and Qualifications
  • Excellent telephone, speaking and writing skills, in English.
  • Good computer skills – Word, Excel, Keyboarding, Internet
  • Excellent organizational, planning and implementation skills
  • Experience in QuickBooks computerized bookkeeping
  • Good analytical thinking and problem solving skills, with the ability to probe for information
  • Ability to multi-task efficiently and meet deadlines
  • Good oral and written communication, proof reading skills
  • Ability to build and maintain relationships
  • Demonstrated superior customer service skills including sensitivity in dealing with client concerns
  • Superior attention to detail
  • Proactive, energetic, dedicated work ethic
  • Active interest in internet processes and technology
  • Able to work under pressure while still maintaining a sense of humor.
  • Maintain confidentiality.
Education - Experience
  • 4 years experience in similar roles
