Job Description and QualificationsAir Products Canada Ltd., a wholly owned subsidiary of Air Products and Chemicals Inc., has manufacturing and distribution operations in Quebec, Ontario, and Alberta. Air Products core industrial gas business provides atmospheric and process gases serving a variety of customers in 50+ countries, including refining, chemical, gasification, metals, electronics, manufacturing, food and beverage, welding, and healthcare.Air Products and Chemicals, Inc., a Fortune 500 manufacturer of industrial gases, has an immediate opening for a Bilingual Executive Administrator Assistant & Sales Support in our Mississauga, (ON) office.Reporting directly to Vice President and General Manager of Air Products Canada, this position is responsible for providing comprehensive administrative support to the Senior Leadership Team and Canadian head office. This position will also be a key enabler of the effectiveness of the Vice President and General Manager of Air Products Canada by proactively prioritizing and managing activities, ensuring important topics are communicated in a timely and organized manner, coordinating projects, and proactively identifying areas of significance for further support.PRINCIPAL ACCOUNTABILITIES

  • Pro-actively manages an ever-changing schedule against priorities to ensure optimum use of time.
    • Schedules and manages meetings (on-site/offsite), events and video conferences including coordinating conference rooms, creating/reporting meeting agendas, taking minutes, etc.
  • Organize travel arrangements including flights, hotels, transfers. Preparation of expense reports on monthly basis; review expenses for executive’s direct reports for adherence to company policy.
  • Interfaces with key internal and external individuals. Ensures that all communication that is sensitive in nature is handled with discretion and due diligence. Prepares and proofread documents, reports, presentations, etc.
  • Create and maintain standard spreadsheets and/or databases.
  • Manage our Canada sharesite – updating the site, adding documents, managing access, etc.
  • Tracking, posting and annual compliance of corporate policies.
  • Work with IT support personnel to coordinate phone, computer and related activities.
  • General administration such as daily distribution and processing of incoming/outgoing mail and couriers, answering the phone, redirecting calls and greeting visitors
    • Administrative support for onsite staff including filing, printing, copying, scanning, ordering business cards, maintaining and ordering office equipment/supplies, etc.
    • Updating, managing and distributing staff contacts and phone lists
    • Creates EForms and paying invoices as required
    • Request WSIB clearance and Insurance certificates as required. (eg. Update 3rd party sites such as ISN Net, Brownz etc.)
    • Coding and filing maintenance of import documents (Livingston Invoices) for record/audit compliance.
        • Assist the sales team in managing the tasks related to signing new business and renewing existing business (generating reports, customer inquiries, processing contract packages, completing workbooks) and any other associated assistance in account maintenance including delivery/logistics issues, billing/collections issues, etc.
        • Monitor Canadian online government procurement websites for relevant bids and assist sales team in completing bid documents. Process includes translation of critical documents for legal review. Obtaining insurance certificates and bid/ execution bonds. Follow up on award of contracts and annual renewal of contract bonds.
        • Managing Canada Contract Admin email for customer price and contract communications in both official languages.
        • Translate & “Canadianize” US generated customer correspondence. e.g. Price letters, etc.
        • Other related duties as required
JOB REQUIREMENTS
  • Post-secondary business administration education and 5+ years previous experience in senior level administration roles. Understanding of Industrial Gases contract language (a plus)
  • Exceptional written and oral communication skills, excellent interpersonal skills.
  • Fluently Bilingual - French and English (speaking/written)
  • Advanced skills in MS-Office applications (Word, Excel, Outlook, Access and PowerPoint)
  • knowledge/experience with managing share sites.
  • Experience with SAP, CRM and BW is a strong asset
  • Strong interpersonal skills with peers, colleagues, and management
  • Exceptional organizational skills and attention to detail with a high level of accuracy and thoroughness in performing tasks
  • Works with a strong sense of initiative, personal accountability, and urgency. Able to step in and handle challenging situations quickly and proactively.
  • Ability to take initiative, display a positive attitude, flexibility and adaptable to changing needs
  • Work independently and in a team environment with minimal supervision
